Administrative Office Assistant

We are seeking a motivated and organized Administrative Office Assistant to join our growing asphalt company. This is an excellent opportunity for someone looking to gain hands-on experience in the construction industry while working closely with company leadership.

In this role, you will work directly with the Chief Financial Officer (CFO) and support a variety of administrative, accounting, and operational functions that keep our office running efficiently.

Key Responsibilities

  • Manage accounts payable and accounts receivable
  • Assist with customer invoicing
  • Answer incoming calls and respond to customer inquiries
  • Process and track incoming leads
  • Manage and verify employee time records
  • Assist with hiring and onboarding new employees
  • Prepare and track permits and Notice to Owner (NTO) documents
  • Process liens and lien releases as needed
  • Manage vendor platforms and compliance portals
  • Provide general administrative support and assist with additional office tasks

Qualifications

  • High school diploma or GED required
  • Experience with QuickBooks preferred
  • Proficiency in Microsoft Excel or Google Sheets
  • Strong organizational and multitasking skills
  • Excellent communication and phone etiquette
  • Ability to work independently and manage multiple responsibilities
  • Construction or office administration experience preferred, but not required
