We are seeking a motivated and organized Administrative Office Assistant to join our growing asphalt company. This is an excellent opportunity for someone looking to gain hands-on experience in the construction industry while working closely with company leadership.
In this role, you will work directly with the Chief Financial Officer (CFO) and support a variety of administrative, accounting, and operational functions that keep our office running efficiently.
Key Responsibilities
- Manage accounts payable and accounts receivable
- Assist with customer invoicing
- Answer incoming calls and respond to customer inquiries
- Process and track incoming leads
- Manage and verify employee time records
- Assist with hiring and onboarding new employees
- Prepare and track permits and Notice to Owner (NTO) documents
- Process liens and lien releases as needed
- Manage vendor platforms and compliance portals
- Provide general administrative support and assist with additional office tasks
Qualifications
- High school diploma or GED required
- Experience with QuickBooks preferred
- Proficiency in Microsoft Excel or Google Sheets
- Strong organizational and multitasking skills
- Excellent communication and phone etiquette
- Ability to work independently and manage multiple responsibilities
- Construction or office administration experience preferred, but not required
