Administrative Operations Assistant
The Administrative Operations Assistant provides clerical and administrative support for the Board of Commissioners Office with an emphasis on accurate data entry, organized recordkeeping, responsive call management, and courteous public assistance. This position is well suited for candidates who are comfortable handling multiple priorities, maintaining confidentiality, and supporting daily financial operations with consistency and attention to detail.
Essential Duties and Responsibilities
- Accounts-Payable: Enters vendor invoices, purchase orders, and payment records accurately and efficiently. Reviews invoices and cross-references against purchase orders and receiving documents. Scans, indexes, and electronically files accounts-payable records.
- Accounts-Receivable: Enters revenue postings, receipts, and payment information accurately and efficiently. Processes incoming revenue, including cash, checks, and digital payments. Scans and electronically files accounts-receivable records.
- Centralized Call Management: Answers incoming calls professionally and efficiently. Routes incoming calls to the appropriate staff member or department. Maintains call logs and supports timely follow-up on messages and requests. Communicates effectively and professionally with staff, vendors, and the public.
- Front Office Administration: Welcomes visitors and provides professional assistance. Provides accurate information while maintaining confidentiality and professionalism. Manages access to building through electronic door lock. Collects, opens, and processes mail.
- Performs other related duties as assigned
Education Requirements
- High School Diploma (or GED) – OR – any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job. Coursework or experience in data entry, bookkeeping, accounting, or clerical finance is preferred.
Skill Requirements
- Ability to type a minimum of 20 words per minute
- Proficiency with a 10-Key numeric keypad
- Ability to produce work that is accurate and error-free
- Ability to complete multiple time-sensitive tasks in a fast-paced environment
- Strong organizational skills
- Ability to identify and correct data entry discrepancies
- Ability to maintain strict confidentiality and to handle and communicate sensitive information discreetly.
- Proficiency in customer service with the ability to speak and write clearly to both internal and external customers.
- Ability to work both independently and as part of a team
- Reliability in attendance and work performance
- Knowledge of Microsoft Office, including Word, Excel, and Outlook
Pay: $8.00 - $12.00 per hour
