JOB TITLE: Administrative & Operations Coordinator
REPORTS TO: Director of Operations
PRIMARY OFFICE: Boulder, CO
FSLA/EMPLOYEE STATUS: Full-Time (32 hrs. /wk.; 4 days/wk.); Non-exempt
PAY & BENEFITS: $30-$35/hr. Benefits include: medical, dental, vision, life and accident insurance; Employee Assistance Programs (EAP); 401(k); paid holidays, vacation time, and sick time.
SUMMARY: The Administrative & Operations Coordinator provides administrative and operational support to the Executive Director and leadership team. This role coordinates day-to-day office operations, ensuring efficient, consistent, and well-organized administrative processes. Serving as a central point of coordination, the Coordinator supports internal workflows, vendor relationships, and organizational logistics.
The position also performs key accounting support functions, including payroll processing and account reconciliations, ensuring accuracy and compliance. This individual demonstrates the organization’s mission and values while fostering positive relationships with staff, consumers, and community partners.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Administrative Operations & Executive Support
- Coordinate day-to-day administrative operations across all CPWD offices to ensure consistency, efficiency, and effective communication.
- Provide direct administrative support to the Executive Director, including calendar management, meeting coordination, travel arrangements, and special projects.
- Serve as a central point of contact for administrative needs across departments, supporting workflow, documentation, and communication.
- Plan and coordinate meetings, trainings, and organizational events, including logistics and on-site support.
- Assist with office space planning and infrastructure needs, including workstation changes, office moves, and resource allocation.
- Manage purchasing and inventory of office supplies, equipment, and operational resources.
- Maintain a safe, clean, and organized work environment across locations.
Accounting & Financial Support:
- Process biweekly payroll, including collection and review of employee timesheets for accuracy and completeness.
- Perform monthly reconciliations of bank accounts, credit cards, and petty cash.
- Track and support administration of employee benefits in coordination with leadership and external vendors.
- Maintain accurate financial and personnel records in compliance with internal policies and regulatory requirements.
- Support audits and financial reviews by preparing documentation and responding to requests.
Organizational Support & Compliance
- Maintain confidentiality of sensitive information and ensure compliance with applicable regulations, including HIPAA.
- Complete required trainings and fulfill mandatory reporting responsibilities in accordance with organizational and legal requirements.
- Manage workload independently, prioritize competing responsibilities, and escalate issues as needed.
- Represent the organization’s mission and values in interactions with staff, consumers, and community partners.
- Participate in staff meetings, trainings, and organizational initiatives.
- Perform other duties as assigned to support organizational priorities.
REQUIRED QUALIFICATIONS:
- 2+ years of experience in administrative support, office coordination, or payroll processing.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills, with the ability to collaborate across remote teams.
- Ability to manage multiple priorities and work effectively in a fast-paced environment.
- Proficiency in Microsoft Office (Word, Excel) and Google Workspace; experience with web-based systems preferred.
- Strong interpersonal skills and ability to work effectively with diverse staff and stakeholders.
- Demonstrated reliability, professionalism, and sound judgment.

- Valid driver’s license, insurance and reliable transportation (if applicable).
- Ability to pass required background checks.
PREFERRED QUALIFICATIONS:
- Personal experience with a disability strongly preferred.
- Knowledge of disability-related issues and the Independent Living Philosophy.
- Experience with payroll processing and basic accounting or bookkeeping principles.
- Proficiency with payroll and accounting systems (e.g., Paychex, QuickBooks).
- Familiarity with the Philosophy and best practices within the Independent Living (IL) community.
PHYSICAL/ENVIRONMENTAL REQUIREMENTS:
- Primarily office-based work requiring extended periods of sitting, standing, and computer use.
- Ability to lift and move up to 50 pounds (lbs.).
- Ability to travel between CPWD office locations and attend off-site meetings or events, as needed.
- May occasionally work in environments with uneven terrain, road hazards, or varying weather conditions.
