Administrative & Personal Assistant (Highly Organized | Execution-Focused)

What I want you to understand is this:
This is not a passive role. This is an execution role.

We are seeking a highly organized, structured, and self-directed Administrative & Personal Assistant to support multiple service-based businesses in regulated environments.

This individual will be responsible for maintaining organization across systems, supporting documentation processes, managing calendars, and ensuring that key operational deadlines are met—without constant supervision.

Not just completing tasks… but owning outcomes.

Key Responsibilities Administrative & Operational Support

  • Maintain and organize calendars, deadlines, and scheduling across multiple businesses
  • Track and follow up on ongoing tasks, projects, and requirements
  • Assist with onboarding processes (documentation tracking, checklist completion, communication)
  • Maintain organized digital filing systems (Google Drive, Microsoft 365, etc.)

Documentation & Compliance Support

  • Assist with preparation and organization of required documentation
  • Ensure monthly documents are completed and submitted by the 15th of each month
  • Maintain accuracy, consistency, and organization of records
  • Learn and follow structured documentation processes (training will be provided)

Communication & Coordination

  • Draft, send, and respond to professional communications
  • Coordinate with team members, providers, and partners as needed
  • Send reminders, follow-ups, and confirmations to keep operations on track

Personal Assistance

  • Support with scheduling and personal administrative tasks
  • Assist with maintaining organization in both business and personal matters

Required Qualifications

  • Strong organizational and time management skills
  • Ability to manage multiple priorities without becoming overwhelmed
  • High attention to detail and accuracy
  • Ability to follow directions and execute independently
  • Strong written and verbal communication skills
  • Reliable, consistent, and accountable

Preferred Experience

  • Administrative or Virtual Assistant experience
  • Experience supporting multiple businesses or executives
  • Familiarity with documentation-heavy or compliance-based environments (a plus)
  • Experience with Google Workspace, Microsoft Office, or project management tools

Work Schedule

  • Approximately ___ hours per week
  • Flexible schedule with required availability for deadlines and communication
