About the Role:

The Administrative Production Coordinator plays a critical role in keeping manufacturing operations organized, efficient, and on schedule. This position is responsible for managing the flow of production documentation by accurately processing sales orders, retrieving associated technical drawings, and assembling detailed work packets for the department. By ensuring that the manufacturing team has the precise information and materials they need at the right time, this role directly supports productivity, quality, and timely order fulfillment.


Key Responsibilities:

Order Processing & Verification

  • Monitor the ERP/MRP, and WMS systems for new Sales Orders released for production.
  • Verify that all line items on the sales order match the customer specifications.
  • Cross-reference order requirements with current inventory levels to flag any immediate material shortages.

Technical Documentation Management

  • Access the digital schematic located in the ERP/MRP system and print the correct Revision Level of technical drawings.
  • Ensure that every sales order is accompanied by its specific blueprint, assembly instruction, or CAD schematic.
  • Maintain an organized filing system (digital and physical) to prevent the use of "outdated" or "redlined" drawings.

Systematic Order Picking & Staging

  • Kitting: Compile "Production Packets" consisting of the Sales Order, Bill of Materials Prioritization: Sequence the release of orders based on ship dates, material availability, or machine capacity.
  • Issuance: Physically deliver or stage packets in designated production zones (e.g., CNC) and update the tracking log.

Record Keeping & Communication

  • Communicate with the Sales department if drawings are missing or contain errors and when sales orders require canalization and/or resubmitted.
  • Report any "bottlenecks" in the documentation phase to the Production Manager.

Follow all Company safety policies and procedures

Minimum Requirements:

  • High school diploma or equivalent
  • 2+ years of administrative experience in a manufacturing or industrial environment
  • Proficiency in Microsoft Office (specifically Excel for order tracking) and prior experience using an ERP, MRP, or WMS system
  • Ability to read and interpret technical documents, such as Sales Orders, Bills of Materials (BOMs), and basic blueprints
  • Demonstrated ability to manage "revision levels" and maintain filing systems where accuracy is critical to avoiding production errors
  • Strong verbal and written skills to effectively bridge the gap between the Sales department and the Production floor

Preferred Qualifications:

  • Direct experience working in a machine shop or CNC environment
  • Advanced knowledge of ISO 9001 or similar quality management standards
  • Ability to troubleshoot data discrepancies within the ERP/MRP system rather than just performing basic data entry
  • Experience with production scheduling

Physical Requirements:

  • Ability to consistently lift and move items weighing between 35 lbs. and 70 lbs.
  • Capability to frequently reach overhead, bend, and crouch to retrieve materials from floor level or high-density shelving.
  • Proficiency in safely using ladders or step stools to access production materials.
  • Ability to remain in a seated position for extended periods while operating computer systems and maintaining focus.
