RESPONSIBILITIES
Diagnostic Laboratory Services, Inc. (DLS) is Hawaii’s largest locally owned and operated clinical and anatomic pathology laboratory. DLS is proud to serve the communities of Hawaii, Guam and Saipan and utilizes state-of-the-art testing and value-based informatics to promote optimal patient care to positively impact patient lives.
SCHEDULE
Regular/Temporary Full-Time Position
Must be available Monday through Friday from 8:00 AM to 4:30 PM.
Must be flexible with schedule changes to meet operational needs.
HIRING RANGE
$17.85 to $22.00 hourly
Actual pay commensurate with experience
JOB SUMMARY
Serves as the primary point of contact to welcome and assist visitors and employees, with professionalism and aloha. Handles a multi-line phone system, incoming and outgoing mail and provides administrative support.
DUTIES AND RESPONSIBILITIES
1.Welcomes and assists visitors and employees; answers and directs calls and inquiries professionally. (20%)*
- Greets visitors, determines nature of visit and directs them to appropriate destination.
- Maintains visitor and employee parking log.
- Operates telephone switchboard.
- Maintains phone directory and management lists.
2.Handles incoming and outgoing mail. (20%)*
- Evaluates, sorts and routes incoming mail.
- Determines appropriate postage, date and services to outgoing mail.
- Maintains the postage meter by ordering and refilling postage.
3.Provides support, such as copying, filing, maintaining equipment and ordering supplies. (40%)*
- Coordinates, edits and distributes the company monthly newsletter.
- Sends employee birthday cards and coordinates gifts.
- Creates and distributes employee welcome cards.
- Maintains interoffice envelope supply for the company.
- Maintains equipment and calls for servicing as appropriate.
- Prepares, proofreads, and distributes documents, and maintains organized and accurate files and manuals.
- Schedules appointments and maintains and updates appointment calendars.
- Helps departments with mailings.
- Coordinates and maintains employee locker assignments.
4.Supports invoice and finance activities. (10%)*
- Handles monetary transactions for employee purchases such as but not limited to postage stamps and movie tickets.
Codes invoices, and balances and deposits funds for accounts.
Codes monthly credit card statement.
5.Provides coverage for the executive assistant. (10%)*
- Travel coordinator for the executive team and others business travel.
- Maintains the President’s calendar and appointments.
- Supports preparation for Board meetings, including contacting Board members and Board meeting minutes.
6.Performs other duties as assigned.

JOB DEMANDSTypical Physical Demands:- Requires corrected vision and hearing to normal range.
- Able to sit and use a PC for up to two (2) hours continuously.
- Able to bend, stoop, pull and push up to two (2) hours a day intermittently.
- Able to lift, carry, push or pull items weighing up to thirty-five (35) pounds occasionally.
Typical Working Conditions:- Work environment includes conditions common to administrative offices.
- Generally works in an indoor, air-conditioned area.
QUALIFICATIONSEducation:Required:- High school diploma or equivalent.
Experience:Required:- One (1) year administrative office or receptionist experience.
- One (1) year customer service experience.
Preferred:- Administrative assistant experience.
Skills:Required:- Ability to communicate effectively in English, both in written and verbal form.
- Ability to work effectively both independently and with a team.
- Excellent customer service skills.
- Exhibit effective decision making with good judgement.
- Proficient in Microsoft Office Suite or similar application.
- Working knowledge of general office equipment such as photocopiers, facsimile machines, etc.
Preferred:- Experience using a multi-line phone system.
