Administrative Service Coordinator

As we continue to grow, we are seeking a self-motivated Service Coordinator Administrative to join our skilled service team.


The Service Coordinator is a key member of our service team, responsible for managing customer service requests from start to finish. This is a fast-paced, highly interactive role that combines technology with strong communication and organizational skills. You will serve as the central point of coordination between customers, technicians, and internal teams—ensuring service calls are handled efficiently, issues are resolved promptly, and billing is completed accurately and on time.

Key Responsibilities

  • Receive and manage incoming service requests via phone, email, customer portals, and internal channels

  • Prioritize daily workflow, including call coverage, service reports, and customer follow-ups

  • Schedule technicians and coordinate planned maintenance work

  • Communicate with technicians throughout the day to track job status and provide required guidelines and materials

  • Process quoted repairs for national accounts

  • Track parts for incomplete repairs and proactively communicate ETAs to customers

  • Run forklift maintenance reports and monitor upcoming service needs

  • Review, process, and resolve open work orders and billing in a timely manner

  • Ensure compliance with customer-specific purchase order requirements for accurate billing

  • Take ownership of service calls from initial request through final invoicing

  • Communicate professionally and empathetically with customers to understand and meet service needs

Qualifications

  • High School Diploma or equivalent

  • Strong computer skills, including proficiency with email, internet applications, Microsoft Excel, and Word

  • Ability to multitask and prioritize effectively in a fast-paced environment

  • Highly organized with strong attention to detail

  • Excellent communication and customer service skills
