The expected ENTRY pay range for this position based on experience and equity within the Judicial Branch is $21.03 to $21.50.

This position is non-exempt under the FLSA.

About the Position
The Administrative Specialist is the first point of contact for the Security Department and is primarily responsible for providing exemplary customer service that is fundamental to the continued success of our operations. Additionally, this position requires sound judgment and excellent organizational skills to provide administrative support to the Security Director and other staff.

POSITION QUALIFICATIONS

Education:
  • High School Diploma or GED
Experience:
  • Two (2) years of office, clerical, or administrative level experience
OR
Combined education and experience qualifications:
  • Post-secondary education may substitute for the experience requirement on a year-for-year basis

  • Bilingual in Spanish/English
Knowledge, Skills, and Abilities:
Knowledge of:
  • Principles and processes for providing customer service including customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction
  • Administrative and clerical procedures and systems such as word processing, managing files and records, and data entry
  • Office practices, procedures, and terminology

ESSENTIAL JOB TASKS
(This is not an all-inclusive list of all job duties that may be required; employees will be required to perform other related duties as assigned.)
  • Manages the Judicial Branch key accountability and distribution program
  • Processes paperwork related to new hires, requisitions, access data, incident reports, security officer assignments, department organizational charts, and other technical operations
  • Works with the Maricopa County Parking Coordinator on parking access for Judicial Branch employees; assists with managing parking access in secured parking locations
  • Provides customer service support to internal and external JBSD customers
  • Reviews, maintains, and processes requests for departmental documents to ensure compliance with state and federal guidelines
  • Assists with managing the department’s staff calendar, schedules appointments, and coordinates meetings; gathers information for meetings, and prepares and distributes meeting materials
  • Obtains and disseminates criminal history information in response to internal requests related to access management, security clearances, and background investigations
  • Assists in the preparation of budgetary receipts and background files for final approval
  • Assists with maintaining the office supply inventory by checking stock to determine inventory level, anticipates needed supplies; places and expedites orders for supplies; verifies receipt of supplies and distribution to regional staff leaders
  • Performs data entry and creates and maintains department files to ensure adequate recordkeeping
  • Updates the Security department’s SharePoint sites and weekly activity reports
  • Assists with managing the Infinity Access Management System and serves as a backup in the absence of the Access Management Assistant
Working conditions:
Will require occasional travel to other court locations as needed for coverage. While performing the duties of this job, the employee is regularly required to speak clearly and hear; see details of objects that are less than a few feet away; sit for long periods of time; stand, walk, use hands to finger handle or feel; reach with hands and arms; and occasionally push, pull or lift up to 20 pounds. Typically, successful candidates are hired at a salary rate up to the midpoint of the range, based on applicable experience, internal equity, and budgetary allowances.

The Judicial Branch of Arizona in Maricopa County participates in the State Retirement systems ASRS or PSPRS. As such, mandatory membership for all full-time employees includes payroll deducted contributions consistent with each retirement system's requirements. The current contribution rate for ASRS is 12.27% and the current contribution rate for PSPRS is 5.84% and up for the defined contribution plan and 8.82% for the defined benefit plan.
