Responsibilities & Duties for Administrative Specialist:
- Provide comprehensive administrative support to division leadership and multiple teams within the Acute Crisis Division

Running reports for various departments

Attend departmental meetings to take notes and support facilitators

Coordinate wellness activities and events

Develop monthly departmental newsletters

Assist with research and training coordination

Support shared outreach initiatives

Handle MOU's submissions and MCR training
-
Coordinate and schedule meetings, training, and appointments; prepare agendas and document meeting minutes

Assist with data entry, tracking, and reporting for program activities, performance metrics, and operational needs

Collaborate with multiple teams to ensure alignment on projects, deadlines, and administrative needs

Identify opportunities to improve administrative processes and support workflow efficiency

Assist with special projects, events, and division-wide initiatives as assigned

Prepare correspondence, reports, presentations, and other documents as needed
- Assist with data entry, tracking, and reporting for program activities, performance metrics, and operational needs

Other duties as assigned with flexibility to meet evolving future divisional needs
- Associate’s in business administration, Public Administration, Healthcare Administration, or a related field (or equivalent work experience)
- 2–4 years of administrative or office support experience, preferably in a healthcare, behavioral health, or human services setting
- Experience supporting multiple departments or teams simultaneously
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and shared systems (e.g., SharePoint, scheduling tools)
- Experience handling confidential or sensitive information (HIPAA knowledge is a plus if applicable)
- Strong organizational and time management skills with the ability to prioritize competing tasks
- Communication Skills: Clear, professional written and verbal communication when working with diverse teams, leadership, and external partners
- Collaboration: Ability to work effectively across departments and support team coordination
- Attention to Detail: High level of accuracy in data entry, scheduling, reporting, and documentation
- Time Management: Capable of managing multiple priorities, deadlines, and requests simultaneously
- Adaptability: Comfortable working in a dynamic environment with shifting priorities, especially in crisis-related settings
- Technical Skills: Comfortable learning new systems, databases, and internal platforms
- Customer Service Orientation: Professional and courteous when interacting with staff, clients, and stakeholders
- Discretion & Confidentiality: Ability to handle sensitive information with integrity and professionalism
- Project Coordination: Ability to assist with tracking tasks, coordinate meetings, and support division-wide initiatives
