Position Summary: This position coordinates and delivers the reception function for the Wichita Parole Office; provides direct administrative support to management and parole staff in the region; maintains UA supplies, office supplies and janitorial supplies and is responsible for entering requisitions in SMART.
Job Responsibilities may include but are not limited to the following:
Reception/Front Desk: Oversee the reception function for the Wichita Parole Office by coordinating work of front desk office staff who receive telephone calls and office visitors; look up information in OMIS, monitor lobby activity; handle all incoming and outgoing mail; prepare offender urine samples for pick-up; and receive and distribute deliveries. Prepare warrants and warrant withdrawals; type letters, forms, reports, lists and other materials as needed to ensure smooth operation of the reception function. Prepare certificate of IDs for maxed offenders and updated demographics in Athena as appropriate.
Purchasing/Inventory: Order and maintain adequate UA, janitorial, and office supplies for the Wichita Parole Office. Monitor janitorial vendor performance by maintaining a log of contacts and reasons for contact. Process travel payment vouchers, reviewing for accuracy and completeness. Audits vehicle daily logs for accuracy and submits to Central Office. Maintains file copies of daily vehicle logs. Maintains office equipment and schedules routine maintenance and repairs. Enters all requisitions in SMART.
Administrative Support: Support the Regional Director, Deputy Director and Parole Supervisors by preparing or directing the preparation of correspondence, office, and cell phone lists. Do any scheduling of meetings, trips, or other matters as requested. Provide overall administrative support to the Regional Director and Deputy Director to include human resources clerical work.
Purge maxed files, scan all paperwork that is to be retained.
Perform other duties as needed/assigned.
Licensing & Certification: Must maintain a Kansas Driver's License
Minimum Qualifications: Two years experience in general office, clerical or administrative support work. Education may be substituted for experience as determined relevant by the agency.
