Administrative Specialist CL3 - Osher Lifelong Learning Institute

The University of Southern Maine’s Osher Lifelong Learning Institute (OLLI) seeks a dynamic, detail-oriented Administrative Specialist.

The Administrative Assistant will collaborate with the Director, Program Coordinator, and other staff on OLLI’s marketing and web presence to advertise robust course offerings that serve our adult, 50+ population of nearly 1,600. In addition to office support duties, the Administrative Specialist will provide publication editing and proofreading, customer service, purchasing, and program support involving multi-tasking and an eye for detail.

The Osher Lifelong Learning Institute (OLLI) at the University of Southern Maine is a vibrant, member-driven community dedicated to lifelong learning for adults, primarily those age 50 and older. Located in Portland, OLLI offers a wide range of non-credit courses, workshops, lectures, and special events designed to engage curious minds and foster intellectual growth without the pressure of grades or exams.

Led by a combination of volunteer instructors, community experts, and university partners, OLLI provides an inclusive and welcoming environment where members can explore topics ranging from the arts and humanities to science, current events, and wellness. In addition to its educational offerings, OLLI emphasizes social connection and community engagement, creating meaningful opportunities for members to learn, connect, and stay actively involved.

Located on the Portland Campus, full-time position will pay $21.09/hour (non-negotiable) for a new hire or the appropriate transfer rate for a current employee with the University of Maine System. The work schedule for this position is 8:00AM – 4:30PM, Monday – Friday.

Required Qualifications and Skills:

  • 60 credits or more of higher education or equivalent work experience and training.
  • Three years’ administrative experience.
  • Excellent communication and customer service skills.
  • Demonstrated computer proficiency.
