This Administrative Specialist I position involves extensive public and staff contact, both via phone and in-person, and may include occasional interactions with criminal offenders. Work performed may require specialized knowledge in the processing and application of information, documents, and materials.

The Administrative Specialist I works under pressure to meet tight deadlines for handling various office operations and reporting. This position provides administrative support to their team, including but not limited to reception, clerical, recording, and reporting duties. In addition to office administrative duties, the position will provide both HR and fiscal-related support services as well, performing actions such as:

  • Employment packages
  • Onboarding documentation
  • New hire orientation
  • HR Logs, roster, and reporting
  • Procurement
  • Physical inventories of fixed assets
  • Travel authorizations and reimbursement requests
  • Tracking and reporting vehicle logs and mileage reports
  • Additional duties as needed

This position will:

Monitor waiting areas and answer basic inquiries from visitors and/or offenders and direct them to the appropriate personnel; Answer incoming phone calls and disseminate information to the appropriate person; Act upon directives and requests from staff to aid in the orderly operation of the unit and the facility.

Receive and process mail, distribute and file documents both electronically and in hard copy, and manage operations files; Verify data, report writing, summarize and reconcile information or financial data, records management, claims review and processing, data collection and analysis, research, inventory, personnel administration, and fund collection or expenditures.

Salary Range: $39,244.00 - $68,679.00

Salary Grade: NC08

  • Ability to explain and interpret information to clients/customers and staff. Having considerable knowledge of program policies, procedures, and information systems to communicate and process information.
  • Ability to compile, assimilate, and organize both printed and electronic information; ability to apply knowledge of data collection, storage, organization, manipulation, and/or analysis of data.
  • Ability to complete tasks efficiently and promptly when utilizing various business functional areas such as administration, strategic planning, time management, and organizational skills.
  • Ability to utilize office equipment and other relevant technology (software and systems) to meet organizational needs.
  • Ability to maintain confidentiality, identify and understand issues, problems, and opportunities; use effective approaches for choosing a course of action or developing appropriate solutions.
  • Ability to present ideas clearly and effectively in both written and verbal form; ability to adjust language or terminology to meet the needs of the audience; ability to use correct grammar, organization, and structure.

Must have a High School (HS) diploma or General Educational Development (GED) diploma and two years of related administrative experience; or equivalent combination of education and experience.
