Administrative Specialist II - TRiO Student Support

Job SummaryThe Administrative Specialist II is a full-time, grant-funded position which plays a critical role in maintaining compliance with TRiO regulations, Standing Operating Procedures (SOPs), institutional policies, and the Family Educational Rights and Privacy Act (FERPA), while supporting the program’s objectives and mission to promote persistence (40%), academic achievement (78%), graduation (25%), and transfer (8%) among eligible participants.

Job Duties/Functions:

Administrative Operations & Compliance

  • Coordinate daily office operations to ensure efficient program workflow and service delivery.
  • Maintain accurate and confidential participant records in compliance with Family Educational Rights and Privacy Act (FERPA) and federal TRiO regulations.
  • Monitor participant eligibility documentation to ensure compliance with TRiO SSS grant requirements (low-income, first-generation, and/or disability status).
  • Maintain secure filing systems (electronic and physical) for participant files and program records.
  • Provide administrative support for the TRiO SSS Director and program staff and assist with the Annual Performance Report.

Financial & Budgetary Support

  • Process purchase orders, travel requests, stipends, and reimbursements in accordance with institutional and federal guidelines.
  • Track budget expenditures and assist the Director in monitoring grant allocations.
  • Maintain financial documentation to support audits and compliance reviews.

Student & Program Support Services

  • Serve as the initial point of contact for students, faculty, and external stakeholders.
  • Schedule advising appointments, workshops, tutoring sessions, and program events.
  • Assist in coordinating student orientations, leadership activities, financial literacy workshops, and academic seminars.
  • Support participant recruitment efforts through application processing and eligibility verification.
  • Participate in professional development activities related to TRiO, compliance, and student services administration.

Communication & Outreach

  • Draft meeting minutes, program updates, promotional materials and maintain program calendars
  • Maintain confidentiality, professionalism, and ethical standards in all interactions.
  • Performs other duties as assigned

Minimum Qualifications:

  • High school diploma.
  • Minimum of two years of administrative or program support experience, preferably in higher education or grant-funded programs.
  • Strong office management, organizational, data management, and financial processing skills.
  • Proficiency in Microsoft Office Suite.
  • Demonstrated ability to maintain confidentiality and manage sensitive information.

Preferred Qualifications:

  • Experience in business administration, education, public administration, or related field.
  • Experience working with federally funded programs or TRiO initiatives.
  • Knowledge of federal grant compliance and reporting standards.
  • Familiarity with serving first-generation, low-income, and students with disabilities in postsecondary settings.
  • Proficiency in institutional data systems.
