Summary

King County Superior Court is seeking qualified applicants for a full-time Administrative Specialist III. The responsibilities of this position include performing lead clerical and/or oversight office coordination that is specialized and/or technical in nature and is performed under limited supervision. The work involves independent judgment of complex and/or sensitive information. Duties include researching specialized, technical or program-specific information to internal and external customers, distributing work to other office staff and providing direction and training.

Work location: This position is primarily located at the Patricia Clark Children and Family Justice Center in Seattle. The incumbent may also be required to work at other Superior Court locations.

Work schedule and terms: This full-time position is hourly (overtime-eligible) and subject to the overtime provisions of the Fair Labor Standards Act. The incumbent will work 40 hours per week. The workweek is normally Monday through Friday, 8:00 a.m. to 5:00 p.m. Variations from these hours may occur.

Job Duties

The following is intended to be a summary of the job functions for this position and does not reflect every task encountered to achieve these functions.

Provide and/or acquire program-specific information that require interpreting established policies, procedures, regulations and other relevant sources to internal and external customers over the phone, in writing, or in person.

Research and summarize specialized or technical information from varied sources. This may require selecting the most appropriate material and the use of spreadsheets and customized database applications.

Organize, establish, and maintain data sources that may include legal documents and/or other records.

Perform light financial duties such as tracking all expense voucher requests, preparing billing reports and timesheets.

Compose, draft, summarize, prepare, proofread and/or edit documents such as policy and procedure manuals, phone lists, correspondence and contracts.

May distribute workload among other office employees, provide direction and training and monitor the quality and completion of work.

Maintain close contact with the public. Assist both internal and external customers to establish services needed, follow through, and other related duties involving confidential matters.


Experience, Qualifications, Knowledge, Skills

High school diploma or equivalent, and two years' experience in court office procedures and processes, or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job. Skill in working with diverse populations and/or emotional situations with cultural sensitivity. Able to maintain confidentiality on sensitive matters.

Excellent communication and interpersonal skills are required. Must be flexible and able to deal with competitive demands and high-volume workload. Must be proficient with various computer software applications including Microsoft Office programs and database management. Must have the ability to learn specialized software applications. Must have the ability to handle sensitive case information in a fast-paced court environment.

Special requirements: The ability to reliably travel throughout the county is required. Finalists are subject to the Washington State Patrol criminal background check and a reference check. Criminal background records are not automatically disqualifying.
