Position Summary

Responsible for various patient-related Schegistration / patient access duties which include transcribing, scheduling, pre- registering and processing patients, accessing authorizations, conducting training, and following up with incomplete orders from Provider’s offices. Monitors staffing levels and work assignments to ensure the Schegistration Department reaches their goals and daily metrics. Act as backup to the Manager in such functions as payroll, working the Manager assigned work queues, distribution of work assignments, monitoring incoming and outgoing phone calls and ordering supplies.

Essential Duties & Responsibilities

• In the Manager’s absence, facilitates timekeeping/payroll, monitoring employee schedules and workloads and supply ordering. Will assist with staff concerns/conflicts.

• Monitors all incoming order volumes and phone metrics. Assigns daily tasks to staff based on daily staffing and workloads.

• Will conduct monthly staff meetings and update staff on important changes to Radiology Exams and workflows.

• Handles escalated calls from patients and provider offices.

• Answers overflow patient inbound calls and schedules patients for their radiology exams.

• Manages and assigns over 28 different Work queues and 20 job/tasks on a daily basis.

• Assists Radiology Scheduling Manager as needed with workflow issues/improvements.

• Makes sure new employees are fully trained and competencies are filled out. Cross trains in all areas of the Schegistration department in order to provide coverage and answer supervisory questions and be of assistance to Radiology Supervisors and Leads.

• Notifies Manager of staff issues/concerns and will adjust personal schedule to accommodate staffing shortages.

• Opens up and monitors new Helpdesk tickets for any issues and or improvements in Epic.

• Monitors Pre-Registers patients via collection of patient demographics, Insurances, PCP, and guarantor information etc. Tracks the monthly pre-registration monetary collections.

• Monitors the amounts of incomplete orders received from provider offices and assists with improving workflow and communications with Provider’s offices.

• Monitors all Authorization work queues including missing authorizations, wrong location, missing NPIs and incorrect auth numbers. Including the Radiology appointments with changed orders work queue to ensure that authorizations continue to match the changed order. If not, will contact the provider's office for a new order and authorization.

• Assists Manager with interviews and training of new staff. Assists Manager with Annual Performance Appraisals.

• Acts as a resource for Radiology Technicians in regards to updating the Quickdex, resolving errors, and attending morning huddle meetings.

• Oversees the completion of Healthstream training and annual employee vaccinations are completed.

Minimum Qualifications

• A minimum of 5 years experience as a Radiology Scheduler or Hospital Biller

• A minimum of 3 years of Supervisory experience preferably in a healthcare setting

• Knowledge of Radiology procedures and terminology a must

• Flexibility of hours necessary to ensure department scheduling are met, a professional appearance

• Ability to multitask, prioritize, and manage time efficiently

• Strong interpersonal skills, Demonstrates Initiative

• Outstanding problem-solving and organizational abilities.

Preferred Qualifications

• Epic hospital billing system knowledge desired

• Epic PB billing system knowledge is a plus
