Position Summary:

The Personal Assistant to the Pastor provides high-level administrative, creative, and logistical support to the Senior Pastor, ensuring efficient daily operations and the seamless execution of ministry activities. This role requires a proactive, detail-oriented individual with strong reading, editing, and typing skills (minimum 60 WPM) and the ability to manage multiple responsibilities in a fast-paced church environment. The ideal candidate will also be proficient in creating visual presentations and printed materials that align with sermon content, using tools such as Canva or similar design platforms. A high level of professionalism, confidentiality, and spiritual maturity is essential.

Essential Duties and Responsibilities:

Administrative Support:

  • Manage the pastor’s calendar, schedule appointments, and coordinate meetings.
  • Draft, edit, and proofread correspondence, documents, and communications with accuracy and professionalism.
  • Maintain organized electronic and physical filing systems.
  • Respond to emails and phone calls in a timely and professional manner.

Service Preparation:

  • Type and format sermon outlines, notes, and manuscripts with speed and precision (minimum 60 WPM required).
  • Create visual presentations (PowerPoint or similar) to accompany sermons, sourcing relevant graphics and media.
  • Ensure pre and post social media post for Sunday services

Creative Content & Presentation Development:

  • Design booklets, sermon handouts, and visual content using Canva or similar platforms.
  • Collaborate with the pastor to visually enhance teaching materials for Sunday services, small groups, and special events.
  • Incorporate graphics that align with sermon themes and messaging.

Small Group & Ministry Class Support:

  • Set up rooms and materials for Tuesday evening classes and similar gatherings.
  • Provide on-site troubleshooting and support as needed.

Communication & Coordination:

  • Serve as a liaison between the Senior Pastor and church leaders, ministry staff, and congregants.
  • Monitor and assist with social media content related to pastoral communication.
  • Facilitate clear and timely dissemination of key ministry information.

General Assistance:

  • Support the pastor on Sunday mornings and during ministry events.
  • Greet and direct visitors as needed.
  • Manage incoming mail, packages, and deliveries.

Other Duties:

  • Complete other assignments as directed by the Senior Pastor or church leadership in support of the church's mission and vision.

Minimum Qualifications (Knowledge, Skills, and Abilities):

  • Strong reading comprehension, editing, and fast, accurate typing skills (minimum 60 words per minute).
  • Advanced proficiency in Microsoft Office Suite (Word, PowerPoint, Outlook, Excel).
  • Ability to use Canva and other digital design tools to create professional presentations and printed materials.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with an ability to manage multiple tasks and meet deadlines.
  • High level of confidentiality, integrity, and professionalism.
  • Ability to work independently and as part of a team.
  • Flexible and adaptable to changing needs in a ministry setting.
  • Knowledge of and passion for church ministry and service.

Preferred Qualifications:

  • Minimum of 5 years’ experience as an administrative assistant or executive assistant (ministry or nonprofit setting preferred).
  • Experience in event or service planning is a plus.
  • Familiarity with church culture and sensitivity to pastoral and congregational needs.

Licenses, Registrations, and Certificates:

  • None required. Certifications in office administration, project management, or graphic design are a plus.

  • Tuesday: 9:30 AM – 7:30 PM
  • Monday, Wednesday, Thursday: 8:30 AM – 5:30 PM

Job Type: Full-time
