The Housing and Neighborhood Development Department is seeking a highly organized and customer-focused Administrative Support Specialist to provide direct support to the Director and Department. This position plays a vital role in coordinating administrative functions, supporting departmental operations, and serving as a liaison for interdepartmental initiatives and public engagement efforts.
This role requires professionalism, adaptability, strong communication skills, and the ability to manage multiple priorities while delivering excellent customer service to both internal and external stakeholders.

About the Role
This position performs complex administrative, financial, clerical, and technical support work for the Director and the Housing and Neighborhood Development Department. The Administrative Support Specialist serves as a liaison between departments and the public while ensuring efficient daily operations. Must have strong written and verbal communication skills and the ability to work independently and collaboratively within a team setting. The Administrative Support Specialist performs a variety of technical and clerical duties in support of the Department Leadership, including updating computer information, preparing monthly reports, answering telephones, and providing assistance to the department. Provides general administrative support for the department, including processing and preparing mail; preparing records, logs, and filing systems; serving as a receptionist for in-person customers and phone calls; providing information to other departments, outside agencies, and the general public; and directing calls and visitors to appropriate staff or departments. Responsibilities also include front office operations such as sorting mail, greeting visitors, ordering supplies, updating the website, assisting with contract requests, and maintaining revenue files. Serves as Benefits Assistant for the department; provides assistance with benefit forms, timesheets, and updates to training records; updates & distributes new information from the People and Culture Department; and maintains new hire information. Uses Infor GHR software for a variety of transactions, personnel-related issues, etc.

Preparing reports, presentations, and departmental documents

Providing excellent customer service to staff, leadership, and the public

Managing multiple priorities while meeting deadlines

Supporting special projects and departmental initiatives as assigned

Serving as the Benefits Assistant for the department, including benefits administration, timekeeping, GHR entries and training records

Managing front office operations, mail distribution, and visitor reception

This position involves significant interaction with internal and external stakeholders and requires excellent communication and multitasking skills

Minimum Qualifications

High School Diploma/GED with 1–3 years of experience as an administrative assistant, office assistant, administrative support specialist, or in office management.

“OR” No High School Diploma/GED with 5-7 years of experience as an administrative assistant, office assistant, administrative support specialist, or in office management.

Valid Driver’s License

Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint

HR Benefits Assistant, HR Representative, or Business Partner experience
Preferred Qualifications

Associate’s Degree or higher
