Job Duties:

  • The Administrative Support Specialist II process all payments for the statewide federal and state adoption subsidy programs and accurately maintains the data systems for all of the agency's adoption subsidy programs.

  • Coordinate with regional adoption offices, physical and mental health care providers, adoptive families and the Division of Finance to process payments for the State Medical Subsidy program. Maintain the SQL data system to ensure accurate payments and to prevent over-payments.

  • Process all payment requests for the Nonrecurring Cost Federal Adoption Subsidy program for public and private adoptions and maintains the SQL record of payments. Contact attorney's offices for proper billing and verification of Tax ID numbers. Scans and uploads to SharePoint.

  • Under state guidelines and regulations complete extensive criminal background checks on the system database for all potential applicants for the Certified Investigator Program.

  • Coordinate and provide technical support for the Certified Investigator Program on sending required state documents and policy procedure information to all applicants. Assist with maintaining and completing all sealed certificates for the Certified Investigator Program.

  • Manage payment correction requests, repayments and missing payments from adoptive families, medical providers and attorneys of any over-payments and account credits in conjunction with the agency's Finance Division.

  • Generate and mail proof of Adoption Subsidy payment letter as requested by adoptive families. Provide administrative support for the Adoption Program Coordinator, adoption consultant and the Adoption Supervisor.

  • Ensure that Personal Identifying Information (PII) is properly used, accessed, gathered, shared and disposed. Protect the agency networks and applications by safeguarding systems, equipment and data.

  • Perform other related duties as required.

Minimum and Additional Requirements

A High School Diploma and related clerical experience.

An Associate Degree or higher may be substituted for all or part of the work requirements.
