Description

The City of Richmond Department of Social Services is seeking highly qualified candidates for the position of Administrative Technician in the Children, Families & Adults Division. The incumbent is responsible for providing intermediate level office support to the Reunification & Permanency social work team. Work may include receptionist duties, including furnishing general information within prescribed rules; data entry; document preparation including proof-reading and editing; filing and maintaining filing systems; mail processing; routine record-keeping; arranging appointments and schedules; preparing meeting agendas and taking minutes; processing financial transactions including verification of mathematical accuracy and proper coding; copying; and ordering or maintaining supply inventories.

Duties include but are not limited to

  • Preparing meeting agendas
  • Answering telephone and directing calls and visitors
  • Providing information to visitors and callers
  • Receiving opening, logging, and distributing departmental mail
  • Composing and typing correspondence
  • Proofreading and editing documents
  • Maintaining and organizing filing systems
  • Entering data into department automated information systems
  • Scheduling meetings and preparing meeting agendas
  • Maintaining up-to-date Microsoft Outlook calendar of team activities
  • Operating office equipment, including personal computer and maintains equipment and supplies inventory
  • Other related duties as assigned
**City of Richmond Social Services employees who work in this class are considered essential personnel and will be required to work during declared emergencies and major weather events.**

Qualifications, Special Certifications and Licenses

MINIMUM TRAINING AND EXPERIENCE:
  • High School Diploma or GED
  • Two years of related clerical or office support experience
  • An equivalent combination of training and experience (as approved by the department) may be used to meet the minimum qualifications of the classification

KNOWLEDGE, SKILLS, AND ABILITIES:
Considerable knowledge in English language and grammar; Standard office equipment such as multi-line phones, computers, copiers, fax machines, scanning machines, etc.; Software such as Microsoft Office Suite (Word, Excel, Outlook, etc.); and administrative and clerical procedures such as word processing, managing files and records, and designing forms.

Demonstrated skills in entering data accurately; maintaining confidentiality; thinking critically to solve problems; and data entry.

Demonstrated ability in following established procedures; attention to detail; working independently with little supervision; time management and organization; and use of sound judgment and decision making.

LICENSING, CERTIFICATIONS, and/or OTHER SPECIAL REQUIREMENTS:
  • None
PREFERRED QUALIFICATONS:
  • Proficiency knowledge and skill in the use of Microsoft applications (Work, Excel, Outlook)
  • Prior experience in a human services environment
  • Able to work in a routine operation and able to manage changing priorities
  • Skill in using good independent judgment and be proactive in managing tasks
  • Possess a high level interpersonal and communication skills
  • Ability to provide quality customer service to external and internal customers
  • Experience in records management
