Administrative/HR Associate

We are a growing business-to-business wholesale/distribution company looking for a reliable, organized Office Administrator / HR Associate to support day-to-day administrative and basic HR functions. This is our first in-house office role, so this position will play a key part in helping build simple systems, keeping things organized, and supporting our team as we grow.

The ideal candidate is detail-oriented, trustworthy, proactive, and comfortable wearing multiple hats in a small business environment.

Responsibilities:

Administrative & Office Support

  • Manage calendars, schedule meetings, and take meeting notes
  • Book travel and accommodations for team members
  • Manage basic correspondence (email, mail, packages)
  • Organize digital and physical files
  • Assist with general office organization and supplies
  • Handle basic monthly payments like rent and utilities
  • Deposit checks using a check scanner and assist with basic bookkeeping tasks
  • Support the owner/leadership with ad-hoc administrative tasks

HR & People Support (Basic Level)

  • Assist with hiring processes (posting jobs, scheduling interviews, coordinating onboarding)
  • Maintain employee records and basic HR documentation
  • Support new hire onboarding (paperwork, setting up accounts, etc.)
  • Help track time-off requests and employee information

General Support

  • Help improve simple office systems and workflows as the business grows
  • Be a go-to support person for the team on administrative needs
  • Handle confidential information with professionalism and discretion

Qualifications

  • 1+ years of experience in an administrative, office assistant, or HR support role (small business experience is a plus)
  • Strong organizational and time management skills
  • Comfortable juggling multiple responsibilities
  • Tech-savvy with basic office tools
  • Excellent written and verbal communication
  • High level of trustworthiness and discretion

Nice to Have (Not Required)

  • Experience with HR or hiring processes
  • Experience with bookkeeping, check scanners, or basic accounting tasks
  • Small business or startup experience

Pay: From $17.00 per hour

Expected hours: 40.0 per week

  • High school or equivalent (Required)
