The Admin cum Receptionist for our Civil Contracting firm is responsible for managing front desk operations while providing administrative support to ensure smooth operations of the office. This includes greeting visitors, handling phone calls, and assisting in the coordination of documents related to construction projects. The ideal candidate will be able to handle construction-related inquiries, manage contractor schedules, and maintain the reception area to meet industry-specific standards.
Key Responsibilities:
- Greet clients, contractors, visitors, and team members with a professional and courteous attitude.
- Answer and route incoming phone calls to the appropriate departments, including project managers, field teams, and engineers.
- Maintain a professional, tidy, and welcoming reception area at all times.
- Maintain a system to log and track construction-related correspondence and documentation.
- Organize and maintain construction project files, keeping records of contracts, bids, approvals, and communications.
- Ensure that all construction documentation (e.g., permits, blueprints, safety reports) is up to date and accessible when needed.
- Ensure proper filing, tracking, and retrieval of documents.
- Verify documents for accuracy, completeness, and compliance with standards.
- Archive obsolete documents and maintain records for audit purposes.
- Prepare reports on document status and progress when required.
Required Skills & Qualifications:
- Bachelors;
- Proven experience as an administrator, or record keeper, preferably in the construction or contracting industry.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong organizational skills with the ability to handle multiple tasks simultaneously.
- Excellent communication skills, both verbal and written.
- Ability to maintain a professional demeanor and appearance in a fast-paced environment.
- Attention to detail, especially when dealing with construction-related documents and schedules.
