Responsibilities
- Manage front desk operations, greeting visitors and directing calls with courteous phone etiquette.
- Operate multi-line phone systems efficiently, ensuring prompt responses and clear communication.
- Maintain accurate data entry using tools like QuickBooks, Microsoft Office, and Google Workspace for invoicing, record-keeping, and reporting.
- Oversee office management duties including filing, proofreading documents, organizing files, and maintaining supplies.
- Provide exceptional customer service by supporting clients and team members with inquiries and administrative needs.
- Schedule appointments, manage calendars, and coordinate meetings using calendar management tools.
- Assist with bookkeeping tasks such as invoicing, expense tracking, and basic financial record maintenance.
- Support medical or dental reception duties if applicable, including patient check-in and appointment scheduling.
- Handle clerical responsibilities such as typing correspondence, preparing reports, and managing data entry tasks efficiently.
- Ensure a tidy and organized office environment to promote productivity and professionalism.
Experience
- Proven office experience or administrative background demonstrating strong organizational skills.
- Familiarity with office management software including Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and QuickBooks.
- Experience in customer service roles requiring excellent phone etiquette and interpersonal skills.
- Prior clerical experience involving data entry, filing systems, proofreading documents, and calendar management.
- Bilingual abilities are a plus to effectively communicate with diverse clients and team members.
- Knowledge of medical or dental receptionist duties is advantageous but not mandatory.
- Strong computer literacy with the ability to adapt quickly to new software tools.
