Administrator and Administrative Assistant

Job Summary

We are seeking a bilingual, highly organized, and detail-oriented Administrative Coordinator to support daily administrative processes, clinic operations, and certain human resources processes. This role is responsible for ensuring smooth communication across departments, coordinating onboarding, maintaining records, and supporting clinic workflows. Must speak Spanish fluently.

Responsibilities

Administrative Support

  • Perform clerical duties including document preparation, data entry, and copying
  • Provide basic IT troubleshooting support (computer, phone, printers) as needed
  • Support special projects, including data collection and task coordination
  • Follow up with Finance dept on outstanding staff vouchers
  • Printing marketing fliers and distribution (weekly and as needed)

Clinic Support (OB/GYN & General Practice)

  • Monitor and report certain metrics that will be trained
  • Coordinate daily face sheet distribution
  • Assist patients with completion of required forms

Human Resources & Onboarding

  • Coordinate onboarding for staff
  • Prepare and track new hire documentation and onboarding packets
  • Set up system access (usernames, passwords, email accounts)
  • Ensure all onboarding checklist requirements are completed and documented

Credentialing (Licensed Staff)

  • Process credentialing documentation, including applications and required forms
  • Coordinate malpractice applications and provider onboarding requirements

HR Tracking & Compliance

  • Staff roster (roles, hire dates, training, system access)
  • Attendance (vacation, sick time, tardiness, absences)

Scheduling & Coverage Coordination

  • Monitor schedules to identify gaps and communicate solutions
  • Coordinate staff coverage with supervisors for absences and scheduling needs

Qualifications

  • 1–3 years of administrative, HR, or healthcare operations experience preferred
  • Spanish speaking
  • Strong organizational and multitasking skills
  • Excellent attention to detail and follow-through
  • Strong communication and coordination skills
  • Proficiency in Microsoft Office or Google Workspace
  • Experience with EMR systems is a plus

Pay: $21.00 - $30.00 per hour
