Part-Time Administrative Assistant for General Contractor

Job Description:

We are seeking a highly organized and proactive Part-Time Administrative Assistant to join our team, supporting a Los Angeles /Venice based General Contractor. This role will be integral to keeping the business operations running smoothly, with a focus on customer communication, financial tracking, and general administrative tasks. The ideal candidate will be proficient in Quickbooks, able to work independently, manage their own schedule, and communicate effectively with clients, vendors, and the company owner.

Key Responsibilities:

  • Create and Issue Proposals: Prepare and send accurate and timely Proposals to potential customers.
  • Customer Communication: Serve as a point of contact for customer inquiries, handling emails and phone calls with professionalism and excellent customer service.
  • Invoice Management: Create and distribute invoices, ensuring proper documentation of all transactions.
  • Licensing, Insurance and Payments: Stay up to date with licensing and insurance renewals and ensure timely payments for necessary business operations.
  • Document Organization: Maintain and organize all business paperwork, both digital and physical, ensuring everything is up to date and easily accessible.
  • Bookkeeping: General financial tracking of expenses and income. Must be proficient in Quickbooks for invoicing, financial tracking and reporting.

Required Qualifications:

- Strong organizational skills and attention to detail.

- Excellent customer service and communication skills, both written and verbal.

- Ability to work independently and manage a flexible schedule.

- Proficiency with QuickBooks .
