The Administrator Carpark is responsible for the daily administration of parking operations, supporting the management team, and ensuring accurate record-keeping for staff onboarding, training, attendance, and duty hours. The role includes coordinating with ADA HR and Finance teams, managing correspondence, compiling reports, and handling customer inquiries to deliver a high-quality service experience. Additionally, the role oversees parking membership data, updates revenue figures, and ensures timely submission of operational reports.

Responsibilities

  • Assist the HR team with staff onboarding and offboarding processes, including applying for and cancelling airport passes.
  • Provide front-line customer service by handling inquiries and directing them to the appropriate departments.
  • Maintain an organized filing system, ensuring compliance with internal record-keeping standards.
  • Support financial processes by tracking budgets, processing invoices and purchase orders, and assisting with expense reports.
  • Provide administrative support to the management team, including preparing documents, presentations, and proofreading materials.
  • Manage calendars by scheduling meetings and appointments for the management team.
  • Input, update, and manage data in spreadsheets and databases; generate reports and conduct data quality checks.
  • Handle incoming and outgoing communications (emails, calls, mail), ensuring confidentiality and secure data handling.
  • Ensure compliance with parking policies and procedures; assist in developing and updating office policies.
  • Liaise with stakeholders and vendors as needed to support operational requirements.
  • Monitor and ensure adherence to health and safety policies, communicating updates as necessary.
  • Collaborate with team members and support onboarding of new staff by training them on office procedures.

Requirements & Skills

Education and Qualifications:

  • High school diploma or equivalent required.

Experience:

  • 0-2 years previous experience in a similar role.
