Job Overview
We are seeking a highly organized, proactive, and professional Administrator / Executive Assistant to support senior leadership and help advance our growing initiatives. The Executive Assistant provides high-level administrative and strategic support to both the CEO and key funding partners. This role serves as a critical liaison between leadership, funders, partners, and internal teams. The ideal candidate is highly organized, professional, and proactive, with the ability to manage executive priorities, maintain strong relationships, and ensure smooth day-to-day operations in a fast-paced, mission-driven environment.
Responsibilities
- Manage complex calendars for the CEO and support scheduling related to funder meetings and engagements
- Coordinate communications and follow-ups with funders, partners, and stakeholders
- Prepare briefing materials, reports, presentations, and correspondence for executive and funder meetings
- Track deliverables, reporting deadlines, and commitments related to grants and funding partnerships
- Support relationship management by maintaining organized records of funder communications and interactions
- Coordinate internal and external meetings, including board, partner, and donor-related sessions
- Assist with grant documentation, reporting, and administrative compliance
- Organize travel arrangements and logistics for executive leadership when needed
- Track projects, priorities, and action items to ensure timely execution
- Maintain confidential information with a high level of discretion and professionalism
- Provide administrative and operational support to advance organizational initiatives
Qualifications
- Proven experience as an Executive Assistant, Administrative Assistant, or similar role
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- High level of professionalism and confidentiality
- Proficiency in Microsoft Office, Google Workspace, and virtual meeting platforms
- Ability to prioritize tasks and work independently
- Experience in nonprofit, education, or community programs preferred

Pay: $57,284.90 - $67,566.93 per year
