Job Purpose:

The Administrator – M&C will provide administrative and coordination support to the Marketing & Communications team, with a strong focus on RFQ/RFP submissions, document management, project data coordination, and marketing support activities . The role requires high attention to detail, strong organizational skills, and the ability to work in a fast-paced, deadline-driven engineering/consulting environment.

Responsibilities:

Administrative & Proposal Support

• Provide administrative support in the preparation and compilation of RFQ/RFP submissions , ensuring compliance with client requirements and internal standards.
• Ensure all supporting documents (company profiles, project sheets, CVs, certifications, references) are accurate, updated, and well-organized .
• Prepare and maintain standard templates for document formatting, data entry, and proposal submissions.

Marketing & Project Coordination

• Assist in updating project sheets, presentations, and marketing materials .
• Collect and organize project information, team CVs, and reference materials for marketing and business development use.
• Coordinate with internal teams to gather required inputs within deadlines.

Data Management & Quality Control

• Support in basic data entry , document filing, and database updates.
• Perform data checks and quality reviews to ensure consistency, accuracy, and completeness of information.
• Maintain organized digital and physical filing systems for marketing and proposal-related documents.

Requirements:

Education

• Bachelor’s degree in business administration , Marketing, Communications , or a related field.

Experience

• Minimum 3 years of relevant experience , preferably within an engineering, consultancy, or professional services firm .
• Previous exposure to RFQ/RFP processes is highly preferred.

Technical Skills

• Strong proficiency in MS Office (Excel, Word, PowerPoint).
• Knowledge of Adobe InDesign is a plus.
• Ability to work with templates, formatting guidelines, and structured documents.
