Responsibilities

Administrative Operations & Office Management

  • Oversee daily administrative functions including facility management, logistics, and office services to ensure seamless site operations.
  • Manage office infrastructure, including upkeep of pantry, cafeteria, horticulture, pest control, and general cleanliness.
  • Supervise office modifications, new setups, and renovations as per business requirements.
  • Ensure availability and optimal functioning of digital tools and platforms supporting administrative tasks.

Vendor & Resource Management

  • Coordinate with vendors and service providers to ensure timely, cost-effective, and quality delivery of goods and services.
  • Handle certification and processing of vendor invoices in compliance with internal standards.
  • Monitor inventory of office supplies and manage procurement within budgetary constraints.
  • Oversee guest house operations and ensure high standards of hospitality.

Budgeting & Cost Control

  • Monitor administrative expenses and assist in budget preparation and cost optimization.
  • Ensure efficient resource allocation and adherence to financial guidelines.

Travel & Logistics

  • Manage travel desk operations for local and national travel, including vehicle bookings and movement control.
  • Oversee logistics support for the site, ensuring timely and efficient coordination.

Stakeholder Coordination & Communication

  • Act as a liaison between site teams and external stakeholders, including government bodies and contractors.
  • Support the Site Head in executing site-level initiatives and employee engagement programs.

Compliance & Policy Implementation

  • Develop and implement site-specific administrative policies aligned with AGEL’s operational standards.
  • Maintain accurate documentation and records to ensure compliance with internal and regulatory requirements.
  • Stay updated on organizational changes and business developments to align administrative practices accordingly.

Employee Welfare & Facility Services

  • Organize and supervise office activities such as recycling, event planning, and welfare programs.
  • Manage canteen operations, food arrangements, and ensure quality control.
  • Support EHS (Environment, Health & Safety) management as required.

Continuous Improvement

  • Drive process improvements by leveraging technology and best practices to enhance administrative efficiency.
  • Provide regular reports and updates to the Site Head on key performance metrics and operational challenges.

Qualifications

Required Qualifications & Experience

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Minimum of 10–14 years of experience in administrative management, preferably in the renewable energy or infrastructure sector.
  • Proven expertise in stakeholder and vendor management, with a track record of delivering measurable outcomes.

Educational Background

  • Bachelor’s degree in Business Administration or equivalent.
  • Advanced certifications in administrative management or project management are preferred.

Years & Type Of Experience

  • 10–14 years of experience in administrative roles within large-scale infrastructure or energy projects.
  • Demonstrated ability to manage complex administrative operations in geographically dispersed locations
