Admission Intern (Internship Leading to Job)

Title: Admission Intern (Internship Leading to Job)

Location: Cardiff Med, Wahadat Road, Lahore

Internship Type: Internship Leading to Job, On-site

Internship Period: 03 months

Office Timing: 10 am to 7 pm

Working days: From Monday to Saturday

Number of Positions: 05

Stipend range: 15,000 PKR to 20,000 PKR (based on experience)

Reporting to: Team Lead

Key Responsibilities:

1. Student Recruitment & Admission Conversion:

· Handle inquiries via calls, emails, WhatsApp, social media,Ai Sensi or different software’s and walk-ins.

· Deal all queries within 15 minutes of receiving & Update QMS on priority before dealing with the next query.

· Follow up on leads as per given policy and convert potential students into confirmed admissions.

· Guide students on course details, eligibility, and career benefits.

· Develop and implement persuasive sales pitches to increase enrollment.

· Meet or exceed monthly admission targets to qualify for incentives.

2. Query Management System (QMS) AI & Follow-Ups:

· Maintain and update the Query Management System (QMS) daily.

· Add all Queries journey to QMS till admission/Rejection

· Use Ai Sensi and CRM tools to track inquiries, monitor enrollment activities, and update student records.

· Ensure compliance with QMS standards and company policies throughout the enrollment process

· Track and manage student inquiries, ensuring timely follow-ups.

· Identify and resolve common concerns to improve conversion rates.

· Provide detailed reports on inquiries, follow-ups, and admissions to team Lead/manager.

3. Class & Student Management:

· Coordinate with the academic team to schedule and execute training sessions.

· Manage student records, attendance, and batch allocation.

· Assist in organizing student orientation, classes, workshops and onboarding sessions.

· Ensure students receive proper support and guidance throughout their course.

4. Marketing & Sales Content Development:

· Develop sales scripts and promotional content to market courses effectively.

· Create and manage WhatsApp groups, channels, and communities to engage students with the latest courses and admissions updates, maintaining regular contact.

· Develop sales funnels to guide potential students from initial contact to enrollment.

· Respond to queries on all social media platforms via inboxes or comments.

· Collaborate with the marketing team to refine promotional strategies.

· Share key insights on student concerns and objections to improve marketing materials.

· Assist in designing social media campaigns for lead generation.

5. Policy Compliance & Reporting:

· Follow all admission policies of Cardiff Med Institute.

· Maintain accurate documentation of student applications and enrollments.

· Generate weekly and monthly reports on admission performance and sales progress.

· Suggest improvements in admission strategies to enhance conversion rates.

6. Target Achievement & Incentives:

· A specific monthly admission target will be assigned to the Admission Officer.

· Achieving the target is mandatory for securing performance-based incentives.

· If the admission officer fails to meet the target consistently, performance evaluation and necessary actions will be taken.

· Exceptional performance beyond the target may lead to additional incentives, bonuses, or promotions.

7. Relationship Building & After-Admission Support:

· Establish and nurture strong relationships with students to foster trust and loyalty.

· Provide continuous support to student’s post-admission, addressing their queries and concerns promptly.

· Act as a liaison between students and faculty to ensure a positive educational experience.

· Organize orientation programs, workshops, and events to integrate students into the institute's community.

· Monitor student progress and provide guidance or resources as needed to support their success.

8. Fee Collection & Payment Management:

· Collect the admission fee, registration fee, or first installment from students.

· Ensure students clear their dues as per the institute’s fee policy.

· Follow up on pending payments and recover outstanding fees while maintaining a professional relationship.

· Provide timely reports on fee collection and outstanding dues to the finance department.

· Submit received fee to the accounts department.

9. Student Feedback Collection & Engagement:

· Develop and implement strategies to collect student feedback after classes or sessions.

· Utilize various platforms, including social media and video testimonials, to gather authentic feedback.

· Analyze feedback to identify areas of improvement and collaborate with relevant departments to implement changes.

· Promote positive testimonials to enhance the institute's reputation and attract prospective students.

· Engage with alumni to build a supportive community and leverage their experiences for current students.

Required Qualifications:

· Minimum Bachelor’s degree (preferably in Business, Education, or International Relations)

· Fresh Graduates and candidates with minimum 06 months of experience from any reputable institution/company are encouraged to apply

· A good knowledge of admission processes will be a plus

· Can do attitude in student conversions

· Good written & verbal communication skills

· Ability to build trust and rapport with students and parents
