Admissions Counselor

Position: 12-Month Regular Full-Time (Benefits Eligible): Pay Grade 4

Classification: Non-Classified; Serves at the Will and Pleasure of the President

Location: Moorefield Main Campus / Headquarters

Scheduled Hours: Monday – Friday; 37.5 hours per week (Evening and weekend hours may be required for recruitment events, NSO, and outreach activities)

FLSA Status: Non-Exempt (Eligible for Overtime)

Department: Academics/Student Services

Reports To: VP of Academics and Student Services

Salary Range: $35,000 – $39,000 annually, commensurate with experience

Position Summary

The Admissions Counselor serves as the primary point of contact for prospective and incoming students, supporting admissions and enrollment across academic programs. This position manages the admissions process from initial inquiry through enrollment, provides admissions counseling, assists with basic financial aid processes including FAFSA completion, and ensures accurate and timely student records.

The Admissions Counselor supports recruitment, onboarding, and retention efforts; coordinates New Student Orientation (NSO); and delivers student-centered guidance to help applicants navigate admissions, registration, transcript evaluation, program requirements, and financial aid processes. This role promotes a welcoming, inclusive, and supportive environment while ensuring compliance with institutional, state, and federal requirements.

Key Duties and Responsibilities

Admissions, Enrollment & Student Support

  • Serve as the primary admissions counselor for all prospective and incoming students across the College.
  • Guide students through the admissions and enrollment process, including application completion, document submission, placement requirements, transcript review, and registration steps.
  • Review applications and supporting documentation for completeness and accuracy; request and track additional materials as needed.
  • Assess, review, and enter college transcripts and academic records into the student information system.
  • Maintain accurate admissions, enrollment, and student records in compliance with institutional policies and regulations.
  • Other duties as assigned

Financial Aid Assistance & Student Guidance

  • Provide basic guidance to students and parents regarding financial aid processes, including FAFSA completion, documentation requirements, and general eligibility criteria.
  • Assist with the collection, tracking, verification, and data entry of financial aid-related documents; refer complex cases to Financial Aid staff as appropriate.
  • Respond to student and parent inquiries related to admissions, registration, financial aid timelines, and student services.
  • Ensure confidentiality and appropriate handling of sensitive student and financial information.
  • Other duties as assigned

Recruitment, Outreach & Orientation

  • Participate in recruitment, onboarding, and retention efforts to support student enrollment and success.
  • Represent the College at recruitment events including job fairs, college fairs, high school visits, career days, and community outreach activities.
  • Establish and maintain relationships with high schools, career centers, employers, and community organizations.
  • Coordinate and support New Student Orientation (NSO), including communications, scheduling, materials preparation, and on-site assistance.
  • Assist with orientations, open houses, information sessions, and student completion or graduation events.
  • Other duties as assigned

Program & Operational Support

  • Collaborate with faculty, program directors, and staff to support admissions, enrollment, and student onboarding across academic programs.
  • Assist students with understanding program requirements, funding options, and career pathways.
  • Coordinate with external agencies and partners (e.g. rehabilitation services, and funding partners) to support student enrollment and funding arrangements.
  • Other duties as assigned

Administrative & Compliance Responsibilities

  • Perform general administrative and office support functions, including scheduling, correspondence, record maintenance, and report preparation.
  • Assist with the development, implementation, and improvement of admissions and student services procedures.
  • Ensure compliance with federal, state, and institutional regulations related to admissions, financial aid, and student records.
  • Serve on college committees, participate in professional development activities, and perform other duties as assigned.
  • Other duties as assigned

Minimum Qualification Requirements

Education:
Associate’s degree in Applied Business, Business Management, Accounting, Administrative Office Support, or a related field preferred.

Experience:

  • At least one year of experience working with students in a post-secondary education setting preferred.
  • Experience with admissions processing, student services, or enrollment support preferred.
  • Experience with database entry/query, records management, report generation, and multi-line phone systems preferred.

Knowledge, Skills, and Abilities:

  • Working knowledge of admissions and enrollment processes.
  • Basic knowledge of FAFSA and financial aid processes, or the ability to obtain within a designated training period.
  • Strong customer service, communication, and interpersonal skills.
  • Excellent organizational skills with the ability to manage multiple priorities and deadlines.
  • Ability to work independently and collaboratively in a student-centered environment.
  • Proficiency in Microsoft Office applications (Outlook, Word, Excel, Access, PowerPoint).
  • Willingness to travel for recruitment, outreach, and professional development as required.
