Aesthetic Patient Coordinator

Georgetown Allure Medical Spa is looking for an experienced, professional, and enthusiastic Aesthetic Patient Coordinator to join our growing team.

This is an exciting opportunity for someone who is passionate about medical aesthetics, professional skincare, client relationships, and helping people feel confident about taking the next step in their treatment journey.

As one of the first people our clients connect with, you will support the full client experience, from the initial inquiry and phone consultation through scheduling, treatment education, skincare recommendations, memberships, packages, follow-up, and long-term care.

ABOUT THE ROLE

This position combines patient coordination, front desk operations, phone consultations, lead conversion, skincare sales, customer service, CRM follow-up, and marketing support.

Most work will be performed on-site at our Washington, DC medical spa. Some scheduled remote shifts may be assigned for lead follow-up, phone consultations, client communication, and administrative work.

This is a goal-oriented role. The successful candidate will be warm and consultative, confident asking for the appointment, organized in follow-up, knowledgeable about aesthetics and skincare, and committed to delivering an exceptional client experience.

KEY RESPONSIBILITIES

Patient Coordination and Lead Conversion

  • Respond promptly to new inquiries from phone calls, website forms, social media, referrals, advertising campaigns, and promotions.
  • Conduct warm, professional phone consultations with prospective clients.
  • Ask thoughtful questions to understand each client’s concerns, goals, treatment history, expectations, and priorities.
  • Explain Georgetown Allure’s services, treatment options, memberships, packages, professional skincare, general pricing, and current promotions using approved information.
  • Help qualified clients select the appropriate consultation or next step and confidently schedule their appointment.
  • Follow up consistently by phone, text, and email until the client books, declines, or requests future follow-up.
  • Reconnect with past leads, canceled appointments, inactive clients, and clients who did not rebook.
  • Maintain accurate CRM notes, lead stages, tasks, outcomes, and follow-up dates.
  • Escalate clinical questions and final treatment recommendations to the appropriate licensed provider.

Front Desk and Client Experience

  • Welcome clients warmly and create a polished, professional first impression.
  • Manage check-in, check-out, scheduling, confirmations, rescheduling, and rebooking.
  • Answer calls, texts, emails, chats, voicemails, and online inquiries.
  • Process payments through Georgetown Allure’s approved systems.
  • Support providers and management throughout the day.
  • Maintain accurate client forms, appointment information, and follow-up tasks.
  • Help maintain an organized, clean, and welcoming reception area.
  • Handle routine client questions and promptly escalate sensitive concerns when appropriate.

Skincare, Membership, and Package Support

  • Learn and confidently explain Georgetown Allure’s professional skincare products, services, memberships, packages, and treatment pathways.
  • Educate clients about professional home-care routines based on Georgetown Allure training and provider or esthetician guidance.
  • Support skincare, retail, membership, and package sales through education and personalized service.
  • Follow up regarding recommended products, future appointments, treatment plans, memberships, and packages.
  • Continue learning about services such as customized facials, chemical peels, microneedling, RF microneedling, radio-frequency treatments, LED, microcurrent, acne care, pigmentation treatments, skin tightening, injectables, and professional skincare.

Marketing and Brand Support

  • Assist with social media, photography, filming, educational content, and promotional projects.
  • Participate on camera or behind the scenes when requested.
  • Support events, promotional days, review campaigns, and client-appreciation activities.
  • Follow up with leads generated through specific marketing campaigns and promotions.
  • Share recurring client questions and objections to help improve our messaging, education, and promotions.

QUALIFICATIONS

Required

  • Previous professional experience in a medical spa, aesthetic clinic, dermatology practice, plastic-surgery practice, cosmetic practice, or closely related professional skincare environment.
  • Strong working knowledge of professional skincare and common aesthetic treatments.
  • Experience speaking with clients about services, skincare, memberships, packages, treatment plans, or appointments.
  • Confidence conducting phone consultations and guiding qualified clients toward booking.
  • Excellent verbal and written communication.
  • Strong organization, follow-up, attention to detail, and accountability.
  • Comfort using scheduling software, CRM systems, email, text messaging, and modern office technology.
  • Weekend availability.
  • Ability to work primarily on-site in Washington, DC and complete scheduled remote assignments when needed.

Preferred

  • Experience converting leads into confirmed consultations or appointments.
  • Experience selling professional skincare, memberships, treatment packages, or aesthetic services.
  • Esthetician license, formal skincare education, or advanced aesthetics training.
  • Experience with social media, Canva, filming, photography, or content support.

REMOTE WORK REQUIREMENTS

Although this role is primarily on-site, some remote work may be assigned. Candidates must have:

  • A quiet, private, and professional home workspace.
  • Reliable high-speed internet and dependable phone access.
  • The ability to conduct uninterrupted phone or video consultations.
  • A secure environment that protects client privacy and confidential information.
  • The ability to remain responsive and productive during scheduled remote hours.

They understand that great medical-spa sales begin with education, accurate expectations, excellent communication, and a strong client relationship. They are comfortable working toward clear goals and taking accountability for lead response, follow-up, booking, rebooking, skincare sales, memberships, packages, CRM accuracy, client satisfaction, and teamwork.
