Overview
We are hiring an Agent Services & Data Management Assistant to join our Sunfire team. This role bridges agent services with precise data management, ensuring that agents receive responsive, knowledgeable support while our rosters, licensing, and RTS data remain accurate and up to date.
You’ll work directly under the current Sunfire team to supplement their high-volume workload, with a strong focus on agent onboarding, troubleshooting RTS (Ready to Sell) issues, and maintaining accurate records across multiple carriers.
The ideal candidate is detail-oriented, organized, and comfortable balancing structured data workflows with agent-facing support. This position is key to fostering positive agent relationships while safeguarding the accuracy of our systems and compliance records.
Key Responsibilities:
Agent Services & Relations
  • Act as a reliable point of contact for incoming agent questions, ensuring professional communication and quick resolutions.
  • Serve as primary backup to the Agent Support Lead, assisting with day-to-day agent service requests.
  • Help agents with Sunfire access, RTS visibility, login challenges, and enrollment troubleshooting.
  • Track and manage agent requests through Jira, ensuring updates are logged and issues are followed through to resolution.
RTS & Sunfire Support
  • Review RTS status discrepancies and determine causes (appointment delays, carrier file submissions, hierarchy issues).
  • Walk agents through understanding their RTS chart, refreshing profiles, or using carrier portals.
  • Collaborate with Sunfire and AmeriLife to escalate issues when needed, keeping agents informed throughout.
Data & Roster Management
  • Maintain Sunfire rosters with accuracy and consistency across all agent records.
  • Prepare and submit Horizon RTS3 roster files, following strict formatting and compliance standards.
  • Verify agent data (NPN, writing number, appointed states, agent type codes, etc.) before submission.
  • Ensure data consistency across platforms to enable proper Sunfire account setup and timely RTS visibility.
Onboarding & Administrative Execution
  • Process Sunfire roster submissions and manage urgent same-day onboarding requests.
  • Collect and validate agent data, distribute credentials, and resolve login issues.
  • Keep internal records, rosters, and logs updated in OneDrive/SharePoint for transparency and compliance.
Licensing & Appointment Coordination
  • Apply knowledge of carrier/state appointment rules (e.g., JIT vs. pre-appointment).
  • Collect, validate, and submit licensing documents through proper FMO/upline channels.
  • Maintain alignment of agents within the correct hierarchy across all systems.
What We’re Looking For
  • 1–3 years of administrative or operational support experience (insurance, healthcare, or contracting preferred).
  • Strong communication skills for handling agent requests clearly and professionally.
  • Proven ability to manage multiple workflows while maintaining high accuracy in data.
  • Experience with formal ticketing systems (Jira preferred).
  • A proactive self-starter with strong follow-through and documentation habits.
Tools & Systems
  • Jira – ticket tracking, RTS troubleshooting, workflow documentation
  • Sunfire – agent onboarding, RTS table management, enrollment support, credential setup
  • Circle – internal roster coding and data consolidation
  • OneDrive & SharePoint – file storage, roster tracking, documentation
  • Zoom – internal communication, agent trainings, and troubleshooting
  • Tableau (Basic Use) – review of agent status trends and sales data
Working Relationship
This role reports directly to the Sunfire team (Jen Sommerfeldt & Allison Colby) and functions as both an agent-facing resource and a data integrity specialist. While strategic decision-making will remain with the lead team, you will be entrusted with executing the daily support, roster management, and administrative tasks that keep agent services and compliance running smoothly.
