About the Role
Dwelleo is looking for an AI Automation Specialist / AI Agent Workflow Architect to join our team and help us build intelligent automation across our real estate marketplace operations.
This role is ideal for a hands-on professional who can design, build, and manage AI-powered workflows that improve efficiency, reduce manual work, enhance lead management, support sales operations, and create measurable business impact.
The successful candidate will work across business, product, sales, marketing, and operations teams to convert real business needs into automated workflows using AI agents, CRM systems, automation platforms, APIs, and data tools.
Key Responsibilities
• Design and implement AI-powered workflows across sales, marketing, CRM, reporting, and internal operations.
• Build and manage AI agents capable of completing specific business tasks.
• Automate lead capture, lead scoring, lead routing, follow-up journeys, sales notifications, and customer engagement processes.
• Integrate AI tools with systems such as Odoo CRM, WhatsApp, email, website forms, APIs, dashboards, and internal tools.
• Build reliable workflow automations using platforms such as Make, n8n, Zapier, or similar tools.
• Create approval flows, escalation logic, error handling, and human-in-the-loop review points.
• Develop automated reports and dashboards from CRM, marketing, and sales data.
• Identify manual processes across departments and convert them into scalable automation workflows.
• Test, monitor, troubleshoot, and continuously improve automation performance.
• Work closely with management to ensure all automation initiatives are aligned with business priorities and measurable outcomes.
Expected Success Outcomes
The candidate should be able to deliver practical automations such as:
• A new website lead is automatically captured, scored, added to CRM, assigned to the right sales person, and followed up through WhatsApp or email.
• High-priority leads are identified and escalated automatically to the sales team.
• Weekly management reports are generated automatically from CRM, marketing, and sales data.
• Customer follow-up journeys are automated from first inquiry to meeting booking and sales handover.
• Multiple AI agents coordinate together to complete tasks such as content creation, quality review, CRM updates, notifications, and reporting.
Required Skills and Experience
• Proven experience in AI automation, workflow automation, or business process automation.
• Strong knowledge of automation platforms such as Make, n8n, Zapier, or similar tools.
• Experience with AI tools such as ChatGPT, Claude, or other AI agent platforms.
• Good understanding of CRM automation; experience with Odoo is a strong advantage.
• Experience with APIs, webhooks, forms, WhatsApp automation, email automation, and dashboards.
• Ability to translate business requirements into practical technical workflows.
• Strong problem-solving skills and attention to detail.
• Ability to test, document, monitor, and improve workflows after deployment.
• Good communication skills and ability to work with non-technical business teams.
Preferred Experience
• Experience in PropTech, real estate, marketplace platforms, sales operations, or lead-generation businesses.
• Experience building multi-agent AI workflows.
• Experience with CRM data, marketing attribution, customer journeys, and sales pipeline automation.
• Basic understanding of analytics tools, reporting dashboards, and performance metrics.
