The Assistant Manager Administration is responsible for overseeing day-to-day administrative operations of the factory, ensuring smooth facility management, security, transportation, housekeeping, utility management, vendor coordination, and compliance with company policies. The role supports operational efficiency by maintaining a safe, organized, and productive working environment.
Key Responsibilities
Administrative Operations
- Manage all factory administrative activities and ensure smooth daily operations.
- Develop and implement administrative policies, procedures, and controls.
- Monitor administrative budgets and optimize operational costs.
- Maintain records, reports, contracts, and administrative documentation.
Facility & Infrastructure Management
- Ensure proper maintenance of factory buildings, offices, warehouses, and employee facilities.
- Coordinate repairs, renovations, and preventive maintenance activities.
- Monitor utility consumption including electricity, gas, water, and internet services.
- Ensure uninterrupted availability of factory support services.
Security Management
- Supervise security staff and security service providers.
- Ensure implementation of access control procedures for employees, visitors, and contractors.
- Monitor CCTV systems and security protocols.
- Investigate security incidents and recommend corrective actions.
Housekeeping & Workplace Management
- Manage housekeeping teams to maintain cleanliness and hygiene standards.
- Ensure proper waste disposal and environmental compliance.
- Maintain office furniture, fixtures, and factory common areas.
Transport & Fleet Management
- Manage company vehicles and transportation arrangements.
- Monitor vehicle maintenance schedules, fuel consumption, and documentation.
- Ensure efficient transport support for employees, visitors, and management.
Vendor & Contractor Management
- Identify, evaluate, and manage administrative service providers.
- Negotiate contracts and service agreements.
- Monitor vendor performance and service quality.
- Process vendor invoices and coordinate payments.
Compliance & Safety
- Ensure compliance with labor laws, factory regulations, and company policies.
- Support implementation of health, safety, and environmental standards.
- Coordinate emergency preparedness activities and drills.
- Assist in internal and external audits related to administration.
Employee Support Services
- Manage canteen, accommodation (if applicable), and employee welfare facilities.
- Coordinate events, meetings, and factory visits.
- Address administrative concerns raised by employees and management.
Reporting & Documentation
- Prepare monthly administration reports and KPI dashboards.
- Maintain records of assets, inventories, utilities, and contracts.
- Track administrative expenses and budget utilization.

Qualification & Experience
Education
- Bachelor's degree in Business Administration, Management, Public Administration, or related field.
- MBA/BBA preferred.
Experience
- 4–7 years of experience in Administration, Facilities Management, or Factory Administration.
- Minimum 2 years in a supervisory or leadership role.
- Experience in manufacturing or furniture industry preferred.
