- Manage and oversee daily PMO routine activities including documentation control, reporting, coordination, and record management.
- Assist in preparation, review, and monitoring of Project Implementation Plans (PIP) and ensure alignment with approved timelines and milestones.
- Maintain and update project schedules, task assignments, and progress tracking using project management tools such as ClickUp or similar platforms.
- Ensure daily project status updates are recorded, consolidated, and reported to senior management.
- Coordinate with project managers, site teams, consultants, and vendors to collect accurate progress data and implementation updates.
- Prepare routine documentation including project reports, dashboards, trackers, and compliance records.
- Draft official correspondence including letters, memos, meeting minutes (MoMs), notices, and internal communications.
- Maintain proper filing, printing, scanning, archiving, and version control of all PMO documents.
- Track action items, follow-ups, approvals, and pending deliverables to ensure timely closure.
- Assist in preparation of presentation materials for management meetings and steering committees.
- Support risk tracking, issue logs, and escalation reporting mechanisms within the PMO framework.
- Ensure documentation is audit-ready and compliant with organizational standards.
- Coordinate scheduling of meetings, prepare agendas, and maintain structured records of discussions and decisions.
- Monitor adherence to project timelines and escalate delays or deviations to the PMO head.
- Support inter-departmental coordination to ensure smooth project execution and information flow.
- High proficiency in MS Office (Word, Excel, PowerPoint).
- • Proficiency in Click Up or similar project management tools (MS Project, Primavera, Trello, etc.).
- • Strong follow-up and task-tracking capability especially in Equipment Delivery Timelines
- • Strong knowledge of PMO frameworks and project lifecycle management.
- • Excellent documentation, Printing, drafting, and official letter-writing skills.
- • Strong reporting and presentation preparation abilities.
