Job Summary:
Under the supervision of the Finance Director/Controller, the A/P Clerk oversees the timely and accurate processing of accounts payable within the prescribed timeframe and in compliance with hospital and departmental policies and procedures.
Duties:
1. Receives and matches invoices, with purchase orders.
2. Verifies prices and amounts received with invoices to ensure proper payments to vendors.
3. Enters invoices via current financial software in accounts payable module by vendor as coded by Accounting Assistant or other (Finance Director/Controller).
4. Research issues raised by A/P vendors.
5. Process check batches and run reports to preview and verify Invoices due.
6. Using the check edit run report preview, print checks on the batch report.
7. Verify accuracy of checks attach appropriate documentation and forward checks for approval.
8. Works with Purchasing and other departments to obtain proper documentation of invoices.
9. Uses computer access for inquiry regarding status of invoices and payments.
10. Reconciles vendor statements with invoices received. Contacts vendors for any missing invoices.
11. Adhere to attendance and dependability standards. Comply with Hospital dress code.
12. Promote and maintain a positive image of the department and the hospital.
13. Will comply with the Hospital code of conduct policies and procedures.
14. Will archive all A/P files to utilize when needed.
15. Must be detail oriented and a multitasker.
16. Must be knowledgeable in Microsoft Excel.
17. Perform other job duties and or projects assigned by supervisor.
18. Works independently with minimal supervision.
Job Specification:
Qualifications: High School diploma or equivalent. Office and phone skill required. Some accounting preferred.
1. Education/Training: High School Graduate or GED.
2. Skills: Maintains a high degree of credibility, independence, integrity, confidentiality, and trust. Strong communication and leadership skills are essential
3. Physical Effort: Work requires frequent sitting and typing. Work requires occasional walking, stooping/bending, climbing, and lifting up to 25lbs. Work is primarily at a desk.
