AP/AR Coordinator

Virginia Beach service and sales company is seeking a person to fill an Accounts Receivable/Accounts Payable position to process complex receivables and payables in a fast-paced setting. We offer a team environment, competitive salary and Monday- Friday daytime hours onsite. We are looking for a detail-oriented employee who will work closely with our Service Department Managers to ensure jobs are processed, costed and invoiced properly. This employee will also work closely with our customers to ensure fulfillment of all billing requirements and timely collections. Though accounts receivable responsibilities are primary, this position will also assist the Accounting Manager with a variety of other duties including, but not limited to, A/P, human resources, sales and use tax computation. The successful candidate will function as backup to the Accounting Manager in their absence.

Required experience:

  • Accounts Receivable: Experienced
  • Accounts Payable: Experienced
  • Bookkeeping: 1 year
  • Microsoft Word: 2 year
  • Microsoft Excel: 2 years

Day-to-day responsibilities include:

  • Entering employee time cards, maintenance of employee leave requests and employee leave calendar
  • Evaluating and analyzing service job data for completion and accuracy
  • Coordinating with Project Managers to obtain missing or revised information to bill completed jobs
  • Accurately invoicing customers with difficult invoicing criteria
  • Contract billing
  • Processing incoming payments in accordance with financial policies and procedures
  • Consistent maintenance of receivable collections
  • Reconciliations
  • Job costing
  • General ledger coding
  • Handling customer inquiries
  • Maintaining organized filing systems
  • General administrative tasks
  • Entering employee time cards
  • Maintenance of employee leave requests and employee leave calendar

Ideal candidate will possess the following skills:

  • Microsoft 365 (specifically Outlook, Excel and Word)
  • Knowledge of general office procedures
  • Exceptional attention to detail
  • Strong organizational and problem-solving skills
  • General accounting/bookkeeping knowledge
  • Ability to prioritize, multi-task, and receive direction
  • Excellent proofreading skills
  • Good interpersonal and communication skills
  • Timeliness and accuracy in task completion
  • Ability to work independently without close supervision
  • Job costing experience preferred, but not required
  • Ability to work within a company specific accounting software program

Pay: $34,164.00 - $58,365.00 per year
