Overview
Our client, Incite Tax, is seeking a detail-oriented Accounts Receivable (A/R) Specialist to join their accounting team. In this role, you will manage accounts receivable processes, oversee billing systems, and ensure accurate invoicing and timely collections. You’ll play a key part in maintaining smooth financial operations, contributing to accounting and revenue management strategies. The ideal candidate is organized, self-motivated, and enjoys working with processes, systems, and accounts reconciliation to support the growth of our business.

Responsibilities/ What You’ll Do
Invoice Management: Manage accounts receivable processes, including accurate invoice creation, tracking, and categorization for first-time customers, recurring services, and one-off projects.
Automated Billing Oversight: Oversee automated billing systems, handle client billing cases, and ensure accurate payment processing and updates for cancellations, refunds, or adjustments.
Collections & Payment Tracking: Track A/R activity, manage automated follow-ups, run client payments, call clients for updated payment info, and send monthly A/R reports to professionals showing past-due accounts.
Revenue Allocation: Ensure payments and revenue are correctly allocated to the appropriate team members and departments.
Accounts Reconciliation & Reporting: Conduct reconciliations, maintain accurate financial records, and provide reports with notes on exceptions. Contribute to Incite forecasting activities and internal metric tracking.
Vendor & Merchant Management: Assist in managing merchant services accounts, including PCI compliance and remote check deposits when applicable.
Client Account Maintenance: Manage client account updates, cancellations, and payment adjustments promptly and accurately.
Collaboration & Special Projects: Collaborate with the Controller and support finance and accounting projects as assigned.
Process Improvement: Continuously identify and implement opportunities to improve efficiency, accuracy, and automation within A/R and accounting operations.
Highly organized and detail-oriented, with a strong focus on accuracy and follow-through.
A planner who thrives on structure, checklists, and deadlines, ensuring timely and reliable financial operations.
Self-motivated and disciplined, able to manage workload independently while meeting multiple priorities.
Proficient in Microsoft Office, Google Suite, and comfortable learning new accounting and finance tools such as Salesforce and QuickBooks Online.
Experienced in billing systems, invoicing, payment processing, and collections, with a solid understanding of accounts receivable procedures.
Analytical and process-driven, with the ability to identify inefficiencies and propose practical improvements.
Previous experience in accounting, bookkeeping, or finance operations is preferred.
