Archivist Assistant

Job Summary:

The Archives Assistant will be responsible for assisting the Tribal Archivist with filing and storing all tribal documents that pass through the Tribal Council and front Administration to protect and preserve Tribal History, for both the Government/Business, as well as the Community/Culture of the Moapa Band of Paiutes. These documents include Council Agenda attachments, forms and requests filled out by tribal membership, Department Documents, previously active contract agreements, images, newspapers etc. They will work closely with the Tribal Archivist and follow relevant guidelines and policies to make these documents findable and accessible. This position entails professional development and increased responsibility, and it is anticipated that the selected candidate will eventually receive training in archival theory, best practices, and methods as well as transition to full-time archival work.


Duties:

  • Itemize/enter key details about documents in Microsoft Excel (creators, dates, etc.)
  • Organize files according to systems of arrangement (e.g., alphabetically, chronologically)
  • Move documents between locations and place them in containers
  • Identify and rehouse documents with preservation concerns
  • Scan and digitize materials
  • Assist the Tribal Archivist with further developing archival policies and guidelines in the context of a recently established unit
  • Communicate in both verbal and written form to coordinate with departments and individuals on behalf of the archives
  • Assist with the facilitation of oral history interviews and potentially transcribe audio recordings
  • Verify accuracy of organization systems and archival finding aids
  • Assist with finding and retrieving documents according to requests
  • Other duties as assigned

Minimum Qualifications:



  • Ability to use or learn basic office software and technology (e.g., Microsoft suite, Internet programs, printers, scanners, etc.)

  • Ability to learn and apply information organization systems

  • Good attention to detail

  • Effective verbal and written communication

  • Effective organizational skills

  • Ability to maintain complete confidentiality and follow legal and institutional privacy rules

  • Ability to follow written and verbal instructions

  • Must care about preserving all historical data of the Moapa Band of Paiutes

  • Must pass a pre-employment background check

  • Must pass a pre-employment alcohol/drug screening

Preferred Qualifications:



  • Work experience (e.g., archival, library, or office work) and/or degree involving the organization of information and documents

  • Advanced technical skills (e.g., experience coding, or using complex hardware or software without the assistance of a GUI)

  • Experience using data management software (e.g., library cataloging systems or archival software)

  • Familiarity with archival theory and best practice

  • Experience with tribal government, politics, and records, especially involving the Moapa Band of Paiutes

Physical & Work Requirements:



  • Ability to sit, stand, reach, bend, stoop, kneel, and walk as required for multiple hours at a time

  • May on occasion lift and carry heavy objects of 50 pounds or less

  • May occasionally need to use a ladder

  • Dexterity (e.g., handling documents safely, writing in small print, and placing stickers on items)
