Job Summary
We are seeking a highly organized and detail-oriented Asistente de Recursos Humanos to support our administrative team in Santurce and willing to work from tuesday to saturday. The ideal candidate will have strong office management skills, experience with payroll processes, and proficiency in various administrative tools. This role involves managing payroll operations, providing executive administrative support, and ensuring smooth office functions. Responsibilities
- Manage and process payroll accurately and timely using payroll software and systems
- Coordinate employee timesheets, attendance records, and leave requests
- Maintain and update employee records and contractors for professional services, ensuring data accuracy and confidentiality
- Assist with bookkeeping, invoicing, and financial record keeping
- Support event planning activities related to company functions or employee engagement
- Provide administrative support including calendar management, scheduling meetings, and handling correspondence
- Prepare reports, proofread documents, and perform transcription tasks as needed
- Manage office supplies inventory and oversee filing systems for efficient document retrieval
- Handle front desk duties including multi-line phone systems, customer service inquiries, and visitor reception
- Utilize Microsoft Office Suite, Google Workspace, DocuSign, Al Chavo, ADP and other relevant tools for daily operations
- Perform data entry tasks with high accuracy and attention to detail
- Support project coordination efforts across various departments as required
Qualifications
- Proven experience in administrative support, or bookkeeping roles, payroll, HR or finance.
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment
- Excellent typing speed and proficiency in data entry and transcription tasks
- Familiarity with QuickBooks, Microsoft Office (Word, Excel, Outlook), Google Workspace, and DocuSign
- Experience with calendar management tools such as Microsoft Outlook Calendar or similar platforms
- Exceptional phone etiquette and customer service skills for front desk responsibilities
- Ability to handle confidential information discreetly and professionally
- Previous experience with event planning or project coordination is a plus
- High school diploma or equivalent; additional administrative certifications are advantageous
