The Assignment Coordinator oversees all non-sales aspects of assignments, including customer service initiatives, travel, housing, and related logistics. This role requires strong leadership, accountability, and the ability to manage complex workflows with precision and urgency. The ideal candidate is detail-oriented, adaptable, proactive, and capable of prioritizing multiple tasks. Success in this position also requires effective communication, a commitment to continuous growth, and alignment with divisional guiding principles and the company’s core values.
Responsibilities
Ownership and Execution:
  • Take full ownership of assigned responsibilities, delivering all tasks within established deadlines.
  • Execute work in a professional, kind, accurate, efficient, engaging, proactive, and timely manner.
Communication and Collaboration
  • Serve as the primary point of contact for sales, business partner teams, and when appropriate providers and clients.
  • Communicate upcoming confirmations, new assignments, and date changes to business partner teams.
  • Initiate business partner processes required for placement.
  • Track progress of Hospital Privileging, Licensing, and Internal Credentialing.
  • Communicate progress updates and potential delays to sales and business partner teams.
  • Hold team members and providers accountable to agreed-upon commitments.
  • Actively contribute to problem-solving and provide proactive solutions.
Administrative Process Management
  • Ensure all placement-related administrative tasks are completed accurately and on time, including:
  • Documenting all actions in the CRM to accurately reflect completed and pending work.
  • Completing data management projects within required timeframes.
  • Managing contract execution, and archival promptly and accurately.
  • Drafting, distributing, and maintaining all written communications (letters, confirmations, etc.) with accuracy and urgency.
  • Preparing and sending “First Day/Final Details” communications comprehensively, accurately, and on time.
  • Providing general administrative support to teams as needed.
Accounting Coordination
  • Partner with accounting to:
    a. Request, collect, and archive all accounting documents (e.g., banking details, payroll withholding, reimbursements) in a timely manner.
    b. Track, reconcile, and provide billing instructions for all assignment-related expenses.
Travel and Housing Coordination
  • Manage all travel and housing logistics by:
    a. Gathering and recording provider travel preferences prior to booking.
    b. Submitting travel and housing requests within expected timeframes.
    c. Collaborating with CHG teams to secure options that meet provider and client expectations.
    d. Tracking client-specific approval requirements to ensure proactive compliance.
    e. Reconciling all travel-related charges with accounting and providing accurate billing and reimbursement instructions.
Customer Service Leadership
  • Act as the primary point of contact for providers throughout the placement process, ensuring a high-quality experience.
  • Maintain a broad understanding of all business partner functions to:
    a. Help prioritize and coordinate business partner workflows.
    b. Communicate plans and updates effectively with business partners, sales, and providers.

Training and Mentorship
  • Participate actively in new hire onboarding, in-service training, and peer mentoring.
Continuous Growth and Support
  • Seek opportunities for professional development by volunteering for new responsibilities and supporting cross-functional initiatives as needed.
Qualifications
  • Proficient in Microsoft Word, Excel, and web-based applications
  • Strong problem solving and decision-making skills in a fast-paced team environment
  • Professional level written and oral communication skills
  • Proven time management and prioritization skills focusing on urgent and overlapping deadlines
  • Strong ability to multitask, anticipate problems, and track multiple processes at once
  • Strong organizational skills, attention to detail, and proven accuracy with record keeping
  • Capable of meeting goals and objectives
  • Ability to work independently
Education & Experience
  • 2 years work experience in an administrative and/or customer service position
  • High School Diploma or equivalent
Preferred
  • Bachelor’s Degree
  • Work experience in the health care or staffing industries
  • Working knowledge of medical terminology
We believe in fair compensation for all of our people, which is why our pay structure takes into account the cost of labor across U.S. geographic markets. For this position, we offer a pay range of $47,870 - $71,094 annually, with pay varying depending on work location and job-related factors such as knowledge, position level and experience. During the hiring process, your recruiter can provide more information about the specific salary range for the job location.
CHG Healthcare offers starting salaries for sales positions in the form of total target compensation (TTC = base + commission + bonus), which includes base pay, commission, and bonuses. Sales positions receive short-term incentives through commission plans and bonuses. On the other hand, non-sales positions have starting salaries that consist of a base salary and short-term incentives through various bonus plans, which are paid out monthly, quarterly, or annually.
