The Opportunity

The Associate Account Executive plays an integral role in the day-to-day financial operations that keep our clients’ lives running smoothly. Working closely with Account Managers, bookkeepers, and external partners, the AAE ensures that financial workflows are executed with precision, deadlines are met, and clients receive the attentive service they expect.

This is a role for someone who is highly organized, detail-oriented, and takes genuine pride in doing the behind-the-scenes work that makes a real difference.

What You’ll Do

Financial Operations & Bill Pay

  • Review and approve bookkeeper entries in AgilLink, ensuring bills are accurately coded, documented, and scheduled for timely payment
  • Confirm wire instructions and support high-volume accounts payable tasks including check runs, month-end reconciliation, spending analysis, and audits

Financial Reporting & Reconciliation

  • Review Balance Sheets, P&Ls, and General Ledgers to ensure accuracy and completeness
  • Prepare and deliver reconciled financial statements; enter tax reserve journal entries and finalize financials for Account Manager review
  • Maintain cash flow tracking and fulfill custom reporting requests for assigned clients
  • Ensure timely compliance with tax deadlines, including 1099 administration and estimated payments

Client & Operational Support

  • Onboard new clients and configure vendor and GL code setups in AgilLink
  • Coordinate client loan applications, asset schedules for insurance, and records related to property or vehicle transactions
  • Maintain accurate client contact information and support scheduling of home and business-related tasks
  • Communicate proactively with clients on bill approvals, coding questions, and operational follow-through
  • Provide coverage and support for fellow team members as needed

What We’re Looking For

  • 2+ years of experience in accounting, business management, family office, or a related financial services environment
  • Solid understanding of accounts payable, general ledger coding, bank reconciliations, and financial statement review
  • Experience with AgilLink or similar accounting/client management platforms preferred
  • Proficiency in Microsoft Excel and comfort navigating multiple systems and portals
  • Exceptional attention to detail with the ability to manage multiple priorities under deadline
  • Strong written and verbal communication skills; professional discretion with sensitive client information
  • A collaborative, team-first mindset and genuine commitment to client service
