Assistant Admin Manager

KHB Real Estate Development is seeking a proactive and detail-oriented Assistant Admin Manager to support and oversee daily administrative operations, with a strong focus on front office management, facility coordination, and customer service excellence.

This role requires a candidate who can manage reception operations, supervise support staff (cleaners & security), coordinate with senior management, and ensure a professional and welcoming environment for clients and visitors.

Key Responsibilities

  • Supervise and manage front office and reception operations
  • Ensure a professional client experience for all visitors and tenants
  • Coordinate meeting room bookings, executive schedules, and internal meetings
  • Act as a point of contact between management and administrative teams
  • Handle customer inquiries, complaints, and service requests efficiently
  • Oversee facility management and office maintenance (cleanliness, supplies, repairs)
  • Coordinate with vendors for maintenance, hospitality, and office services
  • Supervise cleaners, office assistants, and security staff
  • Ensure proper office presentation, hygiene, and operational readiness
  • Monitor office supplies, inventory, and procurement requests
  • Support HR/Admin in documentation, reports, and daily operations
  • Ensure compliance with company policies and operational procedures

Requirements

  • Bachelor’s degree in Business Administration or related field
  • 3–6 years of UAE experience in administration or office management
  • Experience in real estate, property management, or hospitality is preferred
  • Strong experience in:
  • Front office / reception supervision
  • Customer service and complaint handling
  • Facilities and office operations management
  • Ability to manage support staff and external vendors
  • Strong communication and interpersonal skills
  • Professional appearance and customer-focused mindset
  • Ability to multitask and work under pressure
  • Proficiency in MS Office (Excel, Word, Outlook)
