Duties
- Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette
- Operate multi-line phone systems to handle inquiries, schedule appointments, and relay messages promptly
- Maintain accurate data entry using computer skills, including Microsoft Office, Google Workspace, and specialized software like QuickBooks
- Organize and file documents systematically, ensuring easy retrieval and compliance with record-keeping standards
- Support office management tasks such as calendar management, appointment scheduling, and proofreading of correspondence
- Assist with bookkeeping duties, including basic bookkeeping and invoice processing
- Provide exceptional customer service by supporting clients, vendors, and team members with professionalism and efficiency
Skills
- Proven experience in office management or administrative roles with strong clerical skills
- Excellent computer literacy across Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Familiarity with QuickBooks for bookkeeping and financial record-keeping
- Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Bilingual abilities are highly desirable to serve diverse client needs
- Exceptional phone etiquette and experience managing multi-line phone systems
- Attention to detail for proofreading documents, data entry accuracy, and filing systems
- Experience in customer support roles within medical or dental reception settings is a plus
- Personal assistant experience or office experience that demonstrates reliability and discretion
- Time management skills to handle multiple responsibilities efficiently while maintaining professionalism
