Procurement and Purchase Monitoring
- Assist in checking purchase requests from various departments for accuracy and necessity.
- Compare supplier quotations to ensure best value without compromising quality.
- Track delivery of goods and confirm quantities and quality match the purchase order
Inventory Control
- Help maintain updated records of stock levels for food, beverages, housekeeping, and maintenance supplies.
- Assist in conducting regular physical stock counts and reconciling with system records.
- Report discrepancies, wastage, or pilferage to the Cost Controller.
Cost Tracking & Data Entry
- Enter and update all cost-related transactions in the hotel’s accounting or inventory system.
- Maintain spreadsheets for daily food cost, beverage cost, and other consumable expenses.
- Monitor cost variances and highlight unusual spending patterns.
Department Support
- Work closely with F&B, Housekeeping, and Engineering to control usage of materials.
- Prepare daily or weekly consumption reports for management review.
- Support kitchen staff by ensuring portion control standards are being followed.
Compliance & Procedures
- Ensure all purchases follow hotel procurement policies.
- Maintain organized records for auditing purposes.
- Assist in enforcing waste reduction and energy-saving procedures.
Reporting
- Prepare summary reports on costs, inventory movements, and supplier performance.
- Provide data to the Finance team for monthly cost analysis.
- Help in preparing forecasts and budgets by providing historical cost data.
