Job Summary

This position will contribute to the activities of the Gies Advancement Stewardship team to support the strategic priorities of the unit and the college. The Assistant Director of Stewardship will focus on the acknowledgement and fund management of endowed and current use funds and executing donor events to help foster and sustain long-term, meaningful relations with Gies. This position will also support research and data management.

Duties & Responsibilities

  • Acknowledgement and Fund Management

    • Oversee the acknowledgement process to ensure timely, accurate and appropriate recognition of all gifts.
    • Collaborate with the college business office to manage gift and endowment funds to ensure donor intent is respected and college needs are met.
    • Participate in systematic comprehensive fund review with college business office to monitor funds more effectively to ensure proper utilization.
    • Collaborate with Advancement leadership and stewardship team in developing best practices for stewardship fund management.
    • Manage the pledge payment review and serve as primary point of contact for the University of Illinois pledge audit.
    • Manage gift tracking of key fundraising campaigns and fundraising challenges, including capital campaigns, donor matching challenges, etc.
    • Coordinate with Senior Director of Advancement Operations and college budget team on comprehensive annual gift fund reviews. donor intent reviews, missing governing documents, etc.
    • Serve as a resource for gift officers regarding gift fund utilization. Collaborate with the Senior Director of Advancement Operations and gift officers on execution of strategy related to funds that are difficult to spend.
    • In coordination with the Senior Director of Advancement Operations, provide annual stewardship reports to key high-profile donors.
    • Serve as a liaison to the college’s financial operations team regarding the initiation of new UIF funds, endowment reinvestments, and other relevant processes related to gift fund management.

  • Donor Fund Stewardship Point of Contact

    • Serve as the stewardship point of contact for scholarship funds, fund creation, fund management and assist with the college scholarship process.
    • Key contributor to the Gies Scholarship Module – problem solving and process and system improvements.
    • Lead the scholarship stewardship process, including the production of over 500 student profiles.
    • Assist with donor events and activities as needed.

  • Data Reporting and Research

    • Collaborate with the Senior Data Specialist on research and strategic list generation in support advancement activities.
    • Analyze data to provide insights on stewardship and fundraising activities.

  • Data and Database Management

    • Assist with maintaining and updating the donor database and records.
    • Assist with maintaining and updating Gies scholarship data in coordination with appropriate college units.
    • Assist with maintaining and updating Gies faculty support data in coordination with the appropriate college units.
    • Manage the pledge report process to ensure accurate pledge maintenance and reporting.

Specialty Factors

Bachelor’s degree.
A total of two (2) years (24 months) in education, training and/or work experience in advancement, donor relations, stewardship, data analytics, communication, donor fund management, financial aid, or other related experience

Preferred Qualifications

Bachelor's degree in Business or related field.
Experience in university advancement and donor relations. Experience working in a higher education environment.

Knowledge, Skills and Abilities

  • Knowledge of Gies College of Business at Illinois. Demonstrated excellent oral and written communication skills and interpersonal skills. The ability to collect and analyze information and problem-solve. Demonstrated ability to work in a professional and collegial manner with supervisors, peers, and donors/constituents.

Appointment Information

This is a 100% full-time Civil Service 5002 - Program Coordinator position, appointed on a 12-month basis. The expected start date is as soon as possible after the search close date. Salary is competitive and commensurate with qualifications and experience, while also considering internal equity. The budgeted salary range for the position is $60,000 to $65,000.
Hybrid work options may be available for this position, with the ability to be on-site as needed.
