Project & Development Services - MENA
JLL Project & Development Services (P&DS) MENA provides consulting, design, management and build services to tenant and owners, leveraging technology and digital solutions to drive outstanding service delivery.
We bring a life-cycle perspective to our clients, from development solutions to our core services in programme, project and cost management and consulting in digital solutions, tenancy management, sustainability, leisure & entertainment, and workplace & design.
Role Purpose
We are looking for an Assistant Document Controller for our P&DS team to support our document management operations within our commercial real estate projects. The successful candidate will assist in establishing, maintaining, and monitoring document control procedures to ensure accurate, timely, and efficient management of project documentation across various real estate developments and transactions.
Key ResponsibilitiesDocument ManagementAssist in implementing and maintaining document control procedures and protocols
Support the registration, distribution, and tracking of all project documents
Maintain accurate document registers and databases
Ensure proper filing, storage, and retrieval of both physical and digital documents
Monitor document status and follow up on outstanding submissions
Quality ControlReview documents for completeness, accuracy, and compliance with established standards
Verify document formatting, numbering, and revision control
Flag discrepancies and coordinate corrections with relevant parties
Support document audit processes and maintain audit trails
Administrative SupportAssist with document preparation, scanning, and digitization
Coordinate document distribution to internal teams and external stakeholders
Maintain correspondence logs and communication records
Support meeting preparation by organizing relevant documentation
Assist with document archiving and retention procedures
Technology & SystemsUtilize document management software and databases
Support system maintenance and user access management
Assist with training team members on document control procedures
Help troubleshoot technical issues related to document management systems
Required QualificationsEducation & ExperienceHigh school diploma or equivalent required; Associate's degree preferred
1-2 years of experience in document control, administration, or related field
Experience in commercial real estate, construction, or project management is a plus
Technical SkillsProficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Experience with document management systems (SharePoint, ProjectWise, or similar)
Basic understanding of file management and database systems
Familiarity with PDF manipulation and document scanning software
Core CompetenciesStrong attention to detail and accuracy
Excellent organizational and time management skills
Effective written and verbal communication abilities
Ability to work independently and as part of a team
Problem-solving mindset and proactive approach
Ability to handle multiple priorities in a fast-paced environment
Discretion when handling confidential information
Preferred QualificationsExperience with Aconex, Procore, or other construction/real estate project management platforms
Knowledge of document control standards and best practices
Understanding of commercial real estate processes and terminology
Previous experience in a client-facing role
