Job Description: Assistant Facilities Manager
Position Overview
The Assistant Facilities Manager will support the Facilities Manager in overseeing the maintenance and operations of the organization’s properties. The role involves assisting in preventive and corrective maintenance, coordinating with vendors and contractors, supervising day-to-day facilities operations, and ensuring compliance with safety and quality standards. This position is designed for a proactive and detail-oriented professional who can support in managing diverse facility requirements while ensuring smooth operations.
Key Responsibilitie

sAssist the Facilities Manager in planning and executing
preventive, corrective, routine, and emergency maintenanc
e across facilities, including civil, MEP, HVAC, plumbing, firefighting, and swimming pool systems

.Support in scheduling and coordinating maintenance and repair activities for equipment and systems such as
chillers, HVAC, electrical, plumbing, fire detection, and building security system
s

.Conduct
regular inspection
s of properties to identify maintenance issues and escalate for corrective action

.Monitor
Annual Maintenance Contracts (AMCs
) and liaise with subcontractors to ensure services are delivered as per agreed standards and SLAs

.Assist in preparing
RFQs and quotation
s for external vendors and service providers

.Maintain records of maintenance requests, track completion timelines, and ensure compliance with SLAs
-
.Coordinate with internal stakeholders and departments on operational and maintenance issues

.Support the
supervision of the facilities tea
m, ensuring assigned tasks are completed efficiently and safely

.Assist with facility modifications, relocations, and space planning projects (e.g., office reconfiguration, furniture installation)

.Contribute to
HSE compliance and audit

.Provide administrative and technical support in property maintenance documentation, reporting, and compliance
