The Assistant Facility Manager will support the management and maintenance of facility operations to ensure safe, efficient, and smooth functioning of the premises. The role involves overseeing daily facility activities, coordinating maintenance services, managing vendors and service providers, ensuring statutory and safety compliance, and supporting operational efficiency across all facility-related functions.
The position requires strong coordination, operational monitoring, vendor management, and problem-solving abilities to maintain high service standards, optimal infrastructure performance, and a well-maintained work environment. The Assistant Facility Manager will work closely with the Facility Manager, operations team, administration, and service partners to ensure uninterrupted facility services and infrastructure upkeep.
2. Key Responsibilities
A. Facility Operations & Maintenance
- Assist in managing day-to-day facility operations and ensure smooth functioning of infrastructure and services.
- Monitor maintenance activities including electrical, plumbing, HVAC, civil, and general repair works.
- Conduct routine inspections of facilities to identify maintenance requirements and safety concerns.
- Ensure preventive and corrective maintenance schedules are implemented effectively.
- Monitor performance and condition of equipment, systems, and building infrastructure.
- Ensure uninterrupted operation of utilities such as power supply, water supply, and backup systems.
B. Vendor & Service Management
- Coordinate with maintenance vendors, contractors, and service providers including housekeeping, security, pest control, and technical maintenance teams.
- Monitor vendor performance and service quality.
- Assist in vendor onboarding, documentation, and performance evaluation.
- Ensure timely completion of assigned maintenance and service tasks.
- Verify service reports, work completion records, and vendor invoices.
C. Safety & Compliance Management
- Ensure compliance with safety standards, statutory regulations, and facility policies.
- Support fire safety, emergency preparedness, and risk management processes.
- Assist in conducting safety inspections, drills, and compliance audits.
- Ensure proper functioning of safety systems including fire alarms, extinguishers, emergency lighting, and evacuation systems.
- Maintain records of safety inspections, compliance reports, and statutory documentation.
D. Infrastructure & Asset Management
- Maintain records of facility assets, equipment, and infrastructure.
- Monitor asset performance and coordinate maintenance or replacement when required.
- Assist in inventory tracking of facility-related materials and supplies.
- Support procurement and maintenance planning for facility equipment and infrastructure upgrades.
E. Administrative & Operational Support
- Maintain facility documentation including maintenance logs, inspection reports, vendor records, and compliance files.
- Prepare daily, weekly, and monthly facility performance and maintenance reports.
- Support budgeting and cost monitoring related to facility operations and maintenance.
- Coordinate space management, seating arrangements, and facility readiness.
- Assist in resolving occupant or client facility-related concerns and service requests.
F. Coordination & Service Delivery
- Work closely with operations, administration, and project teams to ensure facility readiness and service quality.
- Coordinate maintenance activities to minimize operational disruptions.
- Assist in planning and execution of facility upgrades, renovations, and expansion activities.
- Ensure timely response to facility complaints and service requests.
- Support continuous improvement initiatives for facility management processes.
3. Requirements
Educational Qualification
- Bachelor’s Degree / Diploma in Facility Management, Engineering, Operations Management, or related field – Preferred
Experience
- 2–6 years of experience in facility management, operations, maintenance coordination, or property management
- Experience in commercial facilities, co-working spaces, residential complexes, or infrastructure facilities preferred
- Experience in vendor management and maintenance coordination will be an advantage
Technical & Functional Skills
- Understanding of building systems including electrical, plumbing, HVAC, and civil maintenance
- Knowledge of preventive and corrective maintenance processes
- Understanding of safety standards and statutory compliance requirements
