Assistant Manager – Administration

We are seeking a responsible and experienced Assistant Manager – Administration to oversee building maintenance, electrical and civil works, vendor coordination, and daily administrative operations. The ideal candidate will ensure smooth facility management and effective supervision of maintenance activities.

Key Responsibilities:

Administrative & Facility Management:

  • Supervise daily administrative operations of the office.
  • Ensure proper maintenance of office building and facilities.
  • Monitor and manage the daily complaint log book.
  • Ensure timely resolution of maintenance issues.

Electrical & Civil Maintenance:

  • Oversee electrical maintenance work including power systems, lighting, and backup systems.
  • Supervise civil works such as repairs, renovations, and infrastructure improvements.
  • Conduct regular inspections to ensure safety and functionality.
  • Coordinate preventive maintenance schedules.

Vendor Coordination:

  • Liaise with external vendors and contractors for maintenance and repair work.
  • Evaluate vendor performance and ensure work quality.
  • Negotiate contracts and monitor service agreements.

Team Leadership:

  • Lead and supervise maintenance and support staff.
  • Assign tasks and monitor team performance.
  • Ensure discipline, safety compliance, and teamwork.

Compliance & Reporting:

  • Maintain proper documentation of maintenance records.
  • Prepare periodic reports for management.
  • Ensure compliance with safety and company policies.

Requirements:

  • Master’s degree in relevant field.
  • Minimum 4+ years of experience in administration, facility management, or maintenance supervision.
  • Strong knowledge of electrical and civil maintenance.
  • Good leadership and problem-solving skills.
  • Strong coordination and communication abilities.
  • Ability to handle multiple tasks and meet deadlines.
